GoHighLevel CRM Setup, Integration & Full Business Optimization Specialist Fixed-Price Contract | Remote | Healthcare Private Clinic | Niagara Falls, Ontario Canada **About us** Revitalize Your Health is a specialist private medical clinic focused on sexual function optimization, pelvic health, and regenerative medicine. We operate two divisions — in-clinic in Niagara Falls and virtual care across Ontario. We are building a new standalone GoHighLevel account from scratch on our own direct account and need an expert to build it correctly, integrate it with our entire digital ecosystem, and teach our team to run it independently as you go. We are not looking for someone to hand us a black box. We are looking for a builder who teaches, documents everything, and remains available on an as-needed basis after the project closes. **What you will do** **Account foundation** - Create and configure a new standalone GHL account under our direct ownership — we own everything, no agency sub-account - Migrate contact database from existing system — clean, deduplicate, and import - Port existing phone number or set up new number if port is not possible - Authenticate sending domain via SPF, DKIM, and DMARC — connected to our Netlify-managed DNS. This is done before any automation is built **Patient pipeline build** - Map and build all patient pipeline stages from first website contact through program enrollment and ongoing retention - Separate pipeline for Virtual Care patients tracked independently from in-clinic revenue - Same-day lead response automation — no incoming inquiry waits more than minutes for first contact - Discovery conversation booking flow — form submission routes directly to coordinator queue with immediate patient confirmation - Follow-up sequences for unconverted discovery call leads and post-assessment non-enrollers - 6-week patient check-in automations and program retention flows - Dormant patient reactivation campaigns **Integrations — all of the following:** - Website integration — all contact forms, CTA buttons, and booking flows connected directly to GHL pipelines - Social media channels — Facebook, Instagram, and all active channels connected for lead capture and pipeline entry - Voice reception — incoming calls managed through GHL with call routing, voicemail, and missed call text-back automation fully configured - Jane App coordination — define and implement the clean handoff point between GHL (marketing and pipeline) and Jane (clinical and booking) so data does not duplicate or conflict **Communications build** - Email templates for all core patient touchpoints — built with Canadian healthcare privacy law (PHIPA) boundaries strictly observed. No personal health information in email body at any point - SMS automation for appointment reminders, follow-ups, and re-engagement - Unified inbox configuration — all patient communications including email, SMS, social DMs, and calls visible in one place **Full business optimization** - Audit every tool currently in use — identify what GHL replaces, what it integrates with, and what should be eliminated - Reporting dashboard — pipeline health, lead volume, conversion rates, and revenue attribution visible at a glance without manual data pulling - Optimize all workflows for a two-person non-technical admin team who will run this system daily **Knowledge transfer — non-negotiable** - Two team members train alongside you throughout the entire build — you teach as you build, not after - Plain-language documentation of every workflow, automation, and pipeline stage delivered before project closes - 30-day check-in call included in project scope to catch and fix what surfaces in real use **Ongoing availability** After project completion you remain available on an as-needed contract basis for specific builds, new integrations, or troubleshooting. This is not a retainer — it is availability when we need you and we will pay as we go for this after the project is complete. **Requirements — all non-negotiable** - Demonstrated GHL experience with service-based or healthcare-adjacent businesses — required - Experience integrating GHL with websites, social media, and voice reception — required - Strong command of email deliverability, domain authentication, and list management — required - Fluent English written and spoken — required for effective team training - Ability to explain every build decision in plain language to non-technical team members while building — required - Understanding of privacy boundaries in healthcare marketing — patient data handled in compliance with Canadian privacy law (PHIPA) - Available for flexible build sessions across a defined project period — timeline is negotiable **Not a fit if:** - Your GHL experience is exclusively real estate, coaching, or high-volume e-commerce with no service business or healthcare exposure - You build systems without documenting them - You cannot teach non-technical team members while you work - You require a long-term retainer - You are not fluent in English **To apply — send all of the following:** 1.
