Summary

We are seeking a highly skilled and results-driven GoHighLevel (GHL) Expert and CRM Automation Architect to complete a comprehensive, end-to-end system buildout. If you are an expert in turning messy lead flows into streamlined, revenue-generating machines, this role is for you. Our primary operational focus is maximizing conversion through optimized lead management and cutting-edge automation. Speed-to-lead is our ultimate priority, and we need a system built to ensure no lead ever slips through the cracks. This project requires an initial 10-14 day sprint for a complete foundational buildout, followed immediately by a long-term GHL Virtual Assistant arrangement for ongoing optimization, troubleshooting, tech support, and day-to-day CRM management. Core Responsibilities & Scope of Work Phase 1: The Full Buildout (Timeline: 10–14 Days) Sub-Account Setup & Architecture: Clean configuration of our GoHighLevel sub-account, including custom values, custom fields, calendars, team management, permissions, and pipeline structures. Advanced Automation & Workflows: Build robust, conditional-logic workflows to handle lead nurturing, appointment reminders, and automated follow-ups. Speed-to-Lead Workflows: Design and implement high-priority response systems including instant Missed Call Text-Back sequences and automated lead routing. AI & Voice Agent Integration: Configure and seamlessly integrate advanced conversational AI elements (e.g., OpenAI or Vapi AI voice agents) within GHL to handle appointment booking and qualifying conversations automatically. Pipeline & Opportunity Management: Structure clear, visual pipeline stages tailored to our specific sales cycle to accurately track Revenue Operations (RevOps). Funnel & Form Creation: Build high-converting, mobile-optimized landing pages, capture forms, surveys, and multi-step booking widgets. Communication Channels: Connect and configure Twilio (A2P 10DLC registration), Mailgun/LC Email, WhatsApp, and social media DM channels for central communication. Phase 2: Ongoing GHL Virtual Assistant Support (Long-Term) System Monitoring & Optimization: Continuously monitor workflow performance, patch broken automations, and optimize the CRM for changing business needs. Data Hygiene & Contact Management: Regular database cleaning, segmenting smart lists, and managing list tags. Tech Support & Troubleshooting: Act as the dedicated point of contact for any GHL glitche, integration errors, or user issues. Reporting & Analytics: Build and manage regular reporting dashboards within GHL to track pipeline value, conversion rates, and lead source performance. Required Skills & Qualifications Proven GHL Expertise: Extensive portfolio showing successful GoHighLevel setups, complex snapshot usage, and custom API integrations. Automation Mastery: Deep understanding of nested conditional logic (If/Else branches), webhooks, and third-party tools like Zapier or Make.com. AI Voice & Chat Integration: Hands-on experience natively integrating AI voice agents (Vapi, OpenAI, etc.) into GHL text and call workflows. RevOps/CRM Strategy: Strong foundational understanding of sales pipelines, lead metrics, and database architecture. Communication & Reliability: Exceptional English communication skills, high attention to detail, and a strict adherence to the initial 10-14 day delivery window. Why Work With Us?
