Summary

Objective - As an office, we want to transform our Google Workspace by using an AI-enabled system that reduces manual effort, automates repetitive tasks, improves knowledge management, and increases the speed and quality of our work internally (colleague to colleague) and externally (Office to client). The outcome we are seeking is a combination of technical and a redesigned way of working that leverages the full capability of Google Workspace by adopting Gemini and other associated automation tools. Key pain point - All work requires manual input by design. The current state has no AI features or automations that create any level of efficiency that ultimately reduces BAU task time. Typical day-to-day activities Set up meetings - Google meets Calendar management - Google calendar Inbox management - Gmail Task management - Click up Folder & File management - G Drive Document creation - Google Docs Create presentations - Google Slides PDF and signature requests - Abobe Acrobat Create spreadsheets /manual entry reporting Manage various notetakers - Read AI, Fyxer Communicate via WhatsApp group chats - Whatsapp Carry out research - Google search /Chrome What would good look like - A Google Workspace that can function as: A personal AI Assistant for each team member Knowledge management system is easy to access Research Assistant Meeting coordinator Content creation assistant Decision Support Administrator Workflow automation creating a seamless ecosystem Integration with ClickUp Recommending Gmail apps that can be used to improve work Recommending Google Chrome extensions to improve work File and Folder Backups Cloud Security Measures in place Admin Panel is well setup and maintained A recommended suite of Chrome extensions as part of our workflow How the preferred CRM interacts with Gmail inbox What is our request - deliver an effective & efficient AI ecosystem that saves time and improves UX
