HUBSPOT CRM DASHBOARDS Please review and ensure you have an expert level of capability to execute on these Hubspot dashboards and the associated works. Scope of Works — HubSpot Dashboard Suite Project summary, required skillset, systems, and a per-dashboard breakdown for an external HubSpot implementation partner. Project overview The Client is a consulting firm operating from Australia with a team of around 15 consultants. We are implementing a suite of seven advanced dashboards in HubSpot, which is our CRM and single system of record. HubSpot is the centre of this project. All seven dashboards are built and run inside HubSpot. HubSpot also integrates with Monday.com (project delivery), MYOB (finance/invoicing) and Keep (LinkedIn job-change alerts), but those systems feed data into HubSpot — the dashboards themselves are built natively using HubSpot's report and dashboard builder. The design work is complete: every dashboard has been mocked up and a comprehensive implementation guide has been prepared with report-by-report specifications, a data model, field mappings and branding. We are now engaging an external implementation partner to configure the HubSpot portal and build the dashboards to specification — covering foundations, integrations, data migration, the dashboard build, testing, training and handover. Skillset & experience required This is primarily a HubSpot engagement. The ideal partner is a certified HubSpot specialist or Solutions Partner with demonstrable experience delivering complex, multi-hub builds. Specifically we require: • Certified HubSpot expertise — hands-on administration across Sales Hub (Enterprise), Marketing Hub (Professional), Service Hub and Operations Hub. HubSpot Solutions Partner accreditation strongly preferred. • HubSpot reporting & dashboards — deep experience with the custom report builder, building dashboards from scratch (this project is roughly 55 reports across 7 dashboards), single and multi-object reports, and configuring native drill-through and dashboard filters. • HubSpot data architecture — designing custom objects, custom properties, deal pipelines and stages, lifecycle stages, and record associations. • Operations Hub — calculated properties, workflows, data-quality automation and programmable automation for derived metrics (weighted pipeline, DSO, margin, net revenue retention). • Integration experience — connecting HubSpot to third-party systems: Monday.com (the native connector is unavailable on Monday's Australian server, so middleware or custom API experience is needed), an accounting platform (MYOB via a connector such as Commercient SYNC), HubSpot forms, the tracking code, and apps such as Keep. • Data migration — importing, mapping and de-duplicating contacts, companies and deals into HubSpot, and establishing data-governance rules. • Permissions & teams — designing role-based access so each consultant sees their own book while leadership sees firm-wide and financial views. • Desirable — professional-services or consulting client experience, and familiarity with the Australian market (GST, MYOB, AUD). Systems & apps involved • HubSpot (primary) — CRM and system of record; all dashboards are built here. Editions: Sales Hub Enterprise, Marketing Hub Professional, Service Hub Professional (NPS surveys), Operations Hub Professional (calculated fields). • Monday.com — project delivery (RAG status, milestones, progress, utilisation hours); two-way sync into HubSpot deals via middleware (Unito / Make / Zapier) or custom API. • MYOB — finance and invoicing master; invoices, payments and credits sync into a HubSpot Invoice custom object via a connector. • Keep (KeepSync) — LinkedIn job-change alerts that power the Movers feature on the Consultant Dashboard. • Websites — maximus.com.au and valuemakers.com.au; HubSpot forms for lead capture and the HubSpot tracking code for website traffic analytics. The seven dashboards (we will supply these) — functions required 1 · Executive Overview (HubSpot · Monday.com · MYOB) • Contracted revenue (YTD and next FY), collected revenue and close-won KPIs • Pipeline by stage, key metrics, lead sources and forecast • Recent leads (last 14 days) and allocation; team performance including utilisation (from Monday.com) and NPS (from Service Hub) 2 · Sales Pipeline (HubSpot native) • KPIs: total open value, weighted pipeline, win rate, average cycle time • Stage distribution across the six Maximus sales stages • Open, won, at-risk and lost deal tables, including loss review 3 · Marketing (HubSpot native) • Members and retention; marketing-sourced pipeline with Closed/Won year-to-date • Website traffic via HubSpot analytics (both domains); website leads; top content • Email / EDM performance: sends, open rate, click-through, responses, unsubscribes 4 · Engagements (HubSpot & Monday.com) (Monday.com → HubSpot) • RAG status, progress percentage and milestones, synced from Monday.com • Projects in delivery and upcoming projects; engagement margin; client NPS 5 · Consultant Dashboard (HubSpot · MYOB · Keep) • Personal view (filtered to Owner = me): contacts, accounts, dormant contacts, outbound pursuits • Quick actions (seven tiles) and a My Upcoming & Overdue list of tasks, meetings and appointments • My deals; Movers · new roles (from Keep); personal billing and revenue forecast 6 · Invoicing · Executive View (MYOB → HubSpot) • KPIs: invoiced, collected, outstanding, overdue, pending and credit-in-advance • Receivables aging; invoicing by consultant; outstanding & overdue invoices • Credit-in-advance ledger; collection health (DSO, collection rate) 7 · Account Management & Expansion (HubSpot · MYOB) • KPIs: active accounts, account revenue, net revenue retention, expansion pipeline, at-risk accounts • Key accounts health and value; expansion opportunities (upsell / cross-sell) • Whitespace service coverage; renewals (next 90 days); net revenue retention breakdown Delivery notes & commentary • Native build: all dashboards are assembled in HubSpot's report builder through the interface — reports and dashboards cannot be created via the API, though foundations (pipeline, custom objects, properties) can be scripted. Drill-through to underlying records is HubSpot's native behaviour. • System of record: HubSpot owns commercial data, Monday.com owns delivery data, and MYOB owns financial data. Integrations write into HubSpot reporting properties; the master system always wins. • Calculated fields: weighted pipeline, % to target, DSO, engagement margin, net revenue retention, and 'pending invoicing' (work complete in Monday.com but not yet invoiced in MYOB) — built in Operations Hub. • Permissions: each consultant sees their own book via the Consultant Dashboard; leadership and operations see firm-wide views including all financial dashboards. • Scope of works: portal foundations; Monday.com and MYOB integrations; website forms, tracking code, Keep and NPS; data migration and de-duplication; build of all seven dashboards (~55 reports); calculated fields; UAT, training and 60–90 days of post-go-live support. • Commercials: fixed fee preferred (itemised by phase); software licences and connectors to be quoted separately. Australian conventions throughout (AUD, GST, Australian English). • Assets provided: full-resolution dashboard mockups, an interactive HTML mockup, and a comprehensive implementation guide. All company and contact names in the mockups are fictional. Although this is the initial phase, we would likely expect this could extend into a broader, more extensive engagement.
