Summary

Startup advisory firm with a HubSpot Professional portal (all hubs). The data architecture is done including properties, conditional logic, taxonomy, and pipelines are built and owned in-house. We need a RevOps specialist to turn a static CRM into an automated one: native booking with conditional routing, enrichment-triggered workflows, approval flows, nurture sequences, commission automation, forms with e-signature, and reporting dashboards. Your job is to execute a written spec. Every workflow has defined triggers, branches, and outcomes documented before you start. Sprints with written acceptance criteria per milestone, verified live on screen-share before the next milestone funds. Scope: 8 Milestones (fixed-price per milestone, funded one at a time, in this order) M1: Booking Pages & Conditional Routing Build five HubSpot native scheduling pages with defined meeting types, durations, and availability windows (Sell My Company, Raise Capital, Strategic Partnership, Investor/Buyer, Advisor/Intermediary — exact windows in spec); booked meetings log to CRM and create/associate contacts correctly; replicate our documented conditional routing logic (routing by vertical and revenue band with fallback) and validate side-by-side against the current Calendly routing matrix. Accepted when: all five pages live, test bookings land on the right calendars with correct CRM records, and every row of the routing matrix produces the same outcome as the current system, verified live. Calendly runs in parallel until the client makes the cutover decision. M2: Core Workflows: Enrichment, Scoring, Routing & Pre-Call Approval New-lead automation: on contact/company creation from any source, enrichment triggers automatically (Breeze firmographic; Apollo per provided config), then the record scores, routes by vertical and deal size, and assigns Deal Tier; lifecycle stage triggers (Lead → MQL → SQL → Opportunity → Customer); stale deal alerts (14+ days in stage); auto-dedup on contact creation; SmartLead positive-reply handling. Pre-call worksheet approval flow: when a meeting is booked, a workflow generates a pre-call worksheet (templated summary: company snapshot, vertical/sub-vertical, revenue band, timeline, form answers, enrichment data, scores) → approval task assigned to the reviewing advisor → on approval property flip, worksheet emails automatically to the designated recipient. Accepted when: a brand-new test lead enriches, scores, routes, and tiers without human touch; and a test booking generates the worksheet, routes for approval, and delivers on approval and verified live end-to-end. M3: Commission Automation Auto-set appointment-setter bonuses when deals hit designated stages, gated on qualification criteria (EV threshold, contact type, healthcare vertical); tiered monthly bonus logic with reset on the 1st; MD commission auto-calculation on deal close from Estimated Fee × commission rate; commission status tracking. Accepted when: test deals advancing through gated stages set correct bonus amounts and a test closed-won deal calculates MD commission correctly, verified live. M4: Fee Agreement Follow-Up & Nurture Sequences 14-day multi-step FA follow-up (emails, call tasks, MD escalation per day-by-day spec); day-16 loss survey with opt-in routing to nurture tracks; 5-email/30-day cool cadence for Tier 3; re-score on engagement trigger events. Accepted when: a test deal entering FA Sent fires every step on schedule and each loss-survey option routes correctly. M5: Advisory Pipeline Automation Advisory pipeline auto-advancement per stage spec; graduation automation with score threshold or transaction-ready flag auto-creates a Seller Pipeline deal and advances the advisory deal to Graduated; not-ready contacts route to the advisory pipeline when qualified. Accepted when: a test contact runs the full advisory flow end-to-end including graduation into the Seller Pipeline. M6: Forms, Funnels & E-Signature Intake form with pre-qualifying questions (vertical, revenue band, timeline, objective with option values matching CRM property values exactly); free assessment (lead magnet) form; inquiry forms; assessment landing pages in HubSpot; NDA and fee-agreement flows using HubSpot native e-signature. signed documents log to the record and flip the corresponding date/status properties. All wired to pipelines, routing, and nurture per the routing matrix; embed handoff documented for site launch. Accepted when: every form submission creates/updates the right records, maps properties correctly, and enters the right route per matrix; a test NDA and test fee agreement complete signature end-to-end with the record updating and verified live. M7: Reporting Dashboards (builds only after M1–M5 are live and populating data) Twelve dashboards per provided spec for Advisor: Priority Queue, Hot Prospects, My Pipeline, FA Tracker, Outreach Activity; Deal: Deal Health Overview, Broadcast Performance; Executive: Revenue Forecast, Lead Source ROI, Advisory Portfolio; Compensation: MD Commission, Apt Setter Performance, Compensation Summary. Accepted when: all twelve live and each headline number verified against a manual filtered-view count of the same data. Dashboards that render but miscount are not accepted. M8: SMS A2P 10DLC brand and campaign registration FIRST (carrier approval takes days to weeks and registration can be initiated earlier in the engagement so approval doesn't block this milestone); Salesmsg + HubSpot integration; SMS steps in designated workflows for opted-in contacts only; consent property and suppression logic. Accepted when: registration approved, test messages send and log to the timeline, and no SMS step can fire without recorded consent. Paid Skills Test (required, $50 flat, paid regardless of outcome) Screen-recorded, in a free HubSpot developer test account you create (private apps are supported there):create a custom property with a sub category using conditional logic, create an automation workflow that triggers enrichment upon lead import, create an automated workflow that provides AI enrichment lead details upon booking, build a webhook that receives a POST, calls any LLM API, and writes the response to a HubSpot contact property via private app token. Explain your endpoint authentication and where the API keys live.
