We are a B2B SaaS startup in the automotive space. We sell a fully managed AI receptionist / AI voice platform to auto repair shops and independent used-car dealerships. We are moving our CRM and GTM operations into HubSpot and need an experienced HubSpot specialist to properly configure our Sales Hub, Marketing Hub, CRM pipelines, SDR workflows, lead routing, reporting dashboards, and email deliverability setup. This is not a basic HubSpot setup. We need someone who understands B2B SaaS sales operations, SDR workflows, outbound cadences, inbound lead routing, CRM hygiene, lifecycle stages, and email/domain deliverability. What We Need Built We need HubSpot configured as our GTM operating system. 1. CRM Structure Set up HubSpot CRM for two sales motions: * Auto repair shops * Independent used-car dealerships / BHPH dealers We need clear CRM structure for: * Contacts * Companies * Deals * Lead source * Business type * ICP qualification fields * SDR ownership * Sales ownership * Lifecycle stages * Lead status * Trial status * Customer status 2. Sales Pipelines Create and configure sales pipelines for: Main Sales Pipeline Suggested stages: * New Lead * Research Needed * ICP Qualified * Contacting * Conversation Started * Demo Booked * Demo Completed * Proposal / Trial Offered * Closed Won * Closed Lost * Bad Fit Trial / Onboarding Pipeline Suggested stages: * Handoff Needed * Handoff Complete * Intake Sent * Intake Complete * Build in Progress * QA Testing * Trial Live * Trial Review Scheduled * Converted to Paid * Live Customer * Churn Risk We need required fields, stage automation, task creation, and reporting tied to these pipelines. 3. SDR Workflows / Cadences We need SDR workflows for outbound prospecting. Separate outbound motions for: * Auto repair shops * Independent dealers We need setup for: * Sales sequences * Email templates * Call tasks * Follow-up tasks * No-response follow-up * Breakup emails * Recycle/nurture logic * Manual SMS task reminders if applicable * Task queues for SDRs * SDR activity tracking We want to track: * Calls made * Emails sent * Replies * Conversations started * Meetings booked * Demos completed * Trials offered * Closed won * Closed lost * Bad-fit reasons * SDR performance by vertical 4. Website Form + Lead Routing We need HubSpot forms and routing for website leads. When a visitor submits a form, HubSpot should: * Create or update contact * Create or update company * Assign owner * Set lead source = Website * Set business type * Set lifecycle stage * Route to auto repair or dealer workflow * Send instant confirmation email * Notify internal team * Create urgent task: call within 5 minutes * Create deal if high-intent lead * Mark high-priority leads based on form answers We already have a website form structure with conditional logic for auto repair shops and dealerships. We need you to map those fields into HubSpot correctly. 5. Marketing Hub Setup We need basic Marketing Hub setup for: * Website form autoresponders * Lead nurture emails * Trial started emails * Trial ending emails * Demo confirmation emails * Go-live emails * Customer update emails * Segmented lists by vertical * Segmented lists by lifecycle stage * Basic email templates We are not looking for complex marketing campaigns yet. We need the foundation properly configured. 6. Trial / Customer Lifecycle Automations We need automations for: When a trial starts * Send trial started email * Notify implementation owner * Create onboarding task * Set trial start date * Set trial end date * Create day 7 check-in task * Create day 13 trial-ending task * Create trial review meeting task When customer goes live * Send go-live email * Notify billing/admin * Create day 7 QA task * Create day 30 review task * Update lifecycle stage * Add to customer update list When lead is low fit * Mark as low fit * Send polite follow-up/nurture email * Do not create urgent sales task 7. Dashboards and Reporting Create dashboards for founder, sales manager, and SDR team. We need dashboards showing: * New leads by source * Leads by vertical: repair vs dealer * SDR activity * Calls/emails/tasks completed * Meetings booked * Demos booked * Demo show rate * Demo completed * Trial offered * Trial started * Trial converted * Closed won * Closed lost * Pipeline value * MRR won * Booked MRR vs live MRR * Bad-fit reasons * Speed to lead * Lead response time * Lead source performance 8. Email Deliverability / Domain Setup This is very important. We previously sent marketing emails from HubSpot and many emails went to spam. We need someone who can properly configure HubSpot email deliverability, including: * Domain connection * Email sending domain setup * SPF * DKIM * DMARC * HubSpot tracking domain * Branded links if needed * Sending domain recommendations * Warm-up recommendations * Best practices for avoiding spam * List hygiene guidance * Difference between marketing emails and sales emails * Safe sending limits for a new domain * Setup guidance for Google Workspace / Gmail connection if needed Please only apply if you have real experience fixing HubSpot deliverability issues. 9. Integrations / Technical Setup We may need help connecting or advising on: * Website forms * HubSpot tracking code * Google Workspace * Calendar / meeting links * Slack notifications * Zapier or Make.com if needed * Stripe or billing task workflow later * Importing and cleaning lead lists * Deduplication rules * Custom properties We do not need heavy custom engineering, but we need someone technical enough to connect systems properly and explain the right setup. Written documentation or Loom walkthrough of the setup Important: We Want Practical Execution We are not looking for someone who only gives strategy. We need someone who can log into HubSpot, build the system, test it, document it, and teach our team how to use it. You should be comfortable saying: * “This is the correct way to structure HubSpot.” * “This workflow is too complicated; simplify it.” * “This will hurt deliverability.” * “This should be automated.” * “This should stay manual for now.”
