Summary

I run a plumbing and inspection service company and I'm looking for one dedicated person who will become the permanent owner of our HubSpot operation — not just someone who executes tasks, but someone who thinks strategically about how our entire business should be set up inside HubSpot and then builds it themselves. This is not a "tell me what to do and I'll do it" role. I need someone who looks at my business, understands it, and proactively tells ME what we should build, what dashboards we need, what integrations make sense, what best practices we should follow — and then executes all of it directly. What you'll own: STRATEGY Audit our current HubSpot setup and identify what's wrong and what's missing Design the right pipeline structure for multiple job types (service calls, inspections, compliance filings) Advise on which VoIP and calling tools to integrate with HubSpot and how Design forms that auto-associate contacts, companies, and deals — so nothing needs to be linked manually Recommend the right dashboards and reports for our business (sales performance, job tracking, compliance deadlines, customer follow-up) Advise on best practices for tracking customers across multiple job types and recurring compliance schedules Stay current on HubSpot updates and proactively suggest improvements before we need to ask EXECUTION Build and manage all workflows and automations (recurring job reminders, compliance follow-ups, re-inspection sequences, review requests) Create and manage custom properties and fields as our business evolves Set up and maintain pipelines for sales and service operations Connect HubSpot to our field service software Zuper. Build and maintain marketing automations — lead nurturing, post-job follow-ups, email sequences Basic website page edits in HubSpot CMS (content updates, layout adjustments — not custom coding) Import large amount of lead data and keep it upto date. Keep our CRM clean — data hygiene, deduplication, contact management Document everything you build so the business is never dependent on one person's memory Schedule: You must be available for a 4-hour daily overlap during US Eastern business hours. Candidates who cannot work during US daytime or afternoon hours due to timezone should not apply. Outside of those 4 hours, you manage your own schedule. This is a long-term dedicated role — not a project. Starting at 20 hours per week with a clear path to grow. I want someone who becomes part of my team, knows my business inside and out, and I can rely on every single day. You are the right person if: You have 3+ years working inside HubSpot across multiple hubs (Sales, Marketing, Service, Operations) You hold at least 3 HubSpot certifications — including Operations Hub or Revenue Operations You have advised a business owner on HOW to structure their HubSpot, not just executed instructions Your English is excellent — we communicate directly by message and video call, no middleman You have worked with a field service, home service, or trade business (plumbing, HVAC, inspection, construction) — this is a strong plus You are proactive — you flag problems before I notice them and suggest improvements without being asked Do NOT apply if: You only execute tasks and wait to be told what to do You work through an agency or will pass any of this work to someone else You cannot maintain a 4-hour daily overlap with US Eastern business hours You hold fewer than 3 HubSpot certifications You have only worked with SaaS or ecommerce businesses and have no service business experience Answer these 4 questions in your proposal — applications without answers will not be reviewed: What HubSpot certifications do you currently hold? List every one. Describe a time you advised a business owner on HOW their HubSpot should be structured — not just executed a task. What did you recommend and why? Describe the most complex workflow you have built in HubSpot from scratch. What triggered it, what did it do step by step, and what business problem did it solve? Have you worked with a field service, home service, or trade business before? If yes, what did you specifically build for them? Rate: Please include your expected hourly rate in your proposal. Rate is negotiable based on experience and location.
