HubSpot Specialist – Long-Term Partner

About us: We're HighNote, a digital marketing agency working with clients across healthcare, dental, and local service industries. We're looking for a HubSpot and marketing operations specialist to join us on a long-term basis — not a one-off project. We want someone we can rely on across multiple client accounts. Important: This role has an immediate need — we have a dental client onboarding soon and need solid HubSpot and tracking foundations in place before launch. What you'll be doing: - Set up, audit, and manage HubSpot portals for agency clients — including pipelines, workflows, forms, and reporting - Implement and maintain GTM (Google Tag Manager) for tracking across client websites - Build and manage UTM tracking frameworks to ensure accurate campaign attribution - Configure lead attribution models and ensure leads are tracked end-to-end from source to CRM - Handle CRM integrations — connecting HubSpot to ad platforms, booking systems, and other tools as needed - Support onboarding of new clients with clean, consistent tracking and CRM setup - Troubleshoot tracking issues, data discrepancies, and integration gaps as they arise Requirements: - Proven, hands-on HubSpot experience — CRM setup, automation, reporting, and integrations - Strong GTM skills — tags, triggers, variables, and custom event tracking - Expert-level UTM management and campaign attribution tracking - Experience setting up and managing lead attribution models - Comfortable with CRM integrations (ad platforms, Calendly, booking tools, etc.) - Agency experience preferred — able to manage multiple client environments simultaneously - Reliable, proactive communicator — we need someone we can count on, not just for this project - Top-rated or strong Upwork track record with excellent client reviews Nice to have: - Experience in dental or healthcare marketing (this is a strong plus for our current client pipeline) - HubSpot certifications - Familiarity with Google Ads, Meta Ads, and how they feed into HubSpot attribution - Experience with GA4, Looker Studio, or similar reporting tools What we're looking for in a long-term partner: - Someone who takes ownership of their work, not just a task executor - Available for ongoing retainer or regular weekly hours as needed - Responsive during working hours with clear, professional communication - Able to grow with us as we bring on more clients To apply, please include: - A brief summary of your HubSpot and GTM/UTM experience - Examples of CRM or tracking setups you've built (agency work preferred, anonymized is fine) - Any experience with dental or healthcare clients - Your availability and preferred working arrangement (hourly, retainer, etc.) If you're looking for consistent, meaningful work with a growing team — we'd love to hear from you.
