AI Implementation Consultant for UK Property Developer

We are a growing London-based property developer specialising in a niche sector of residential property development. We want an experienced, independent consultant to review how our business operates, recommend an integrated technology and AI roadmap, and help implement the highest-value improvements. Note we have already undertaken a preliminary AI audit and hence have assessed processes and have a few potential ideas. This is not a machine-learning model-development role or a strategy-only exercise. We need someone who can understand commercial workflows, distinguish AI from ordinary automation or better software configuration, and then deliver practical solutions. What we want to improve - Communications and executive productivity: AI-assisted email drafting, calendar administration and central logging of email, WhatsApp and telephone communications, with human approval where appropriate. - Documents and company knowledge: secure filing, search, sharing, permissions, deletion alerts, backup and a reliable internal knowledge base. - Projects, tasks and opportunities: clear ownership, automated chasers, audit trails, KPIs, CRM tracking and mobile access. - Finance and property operations: invoice and fee checking, project-cost reporting, rent reconciliation, cash-flow visibility and faster development appraisals. - Research and business development: repeatable searches for planning opportunities, contractors and relevant market intelligence. - Training and governance: practical staff use of ChatGPT, Claude and other suitable tools, with clear controls for confidentiality, data protection and human oversight. Initial scope and deliverables - Discovery and process audit: meet the directors and team, review key workflows and systems, and identify duplication, bottlenecks, risks and missing information. - Prioritised roadmap: recommend which processes to simplify, configure, automate or enhance with AI. Rank proposals by impact, cost, complexity, security risk and ease of adoption, and identify the appropriate source of truth for projects, contacts, communications and documents. - Systems recommendation: advise what to retain, replace or integrate, with buy-versus-build reasoning, indicative costs and dependencies. Current or potential platforms include Microsoft 365/Outlook, Dropbox or SharePoint, Monday.com/CRM, Front, WhatsApp, cloud telephony, Zapier/n8n, ChatGPT and Claude/Open AI - Pilot implementation and handover: after approval, implement one to three high-priority workflows, test them with users, train the team and provide clear documentation. Accounts, data, prompts, workflows, integrations and code must remain under company ownership and control. Who we are looking for - Strong business-process analysis and systems-integration experience in an SME. - Evidence of AI and automation solutions you personally implemented, not just advised on. - Hands-on ability with workflow tools, APIs, CRM, document systems and LLM integrations. - Commercial judgement and independence from any one software vendor. - Ability to explain technical decisions clearly and train non-technical users. - Experience in property, construction, real estate or another document-heavy business is helpful but not essential. When applying - Describe one or two comparable audits and implementations you personally delivered, including measurable results. - Outline how you would structure the first four weeks and the deliverables you would produce. - Confirm your availability, hourly rate and whether you are applying independently or through an agency. - Provide 3 references We expect an initial four-to-six-week audit, roadmap and pilot phase, with potential for ongoing implementation and support. Generic applications without specific examples of completed implementation work will not be shortlisted.
