About the Role We are seeking a highly organized, detail-oriented, and professional Virtual Assistant to serve as our Inbound Lead Qualification Specialist and Appointment Setter. This is not a sales-closing position. Your primary responsibility is to quickly contact inbound leads who have requested information, qualify their situation, and schedule appointments with our Senior Analysts. The ideal candidate is confident on the phone, comfortable making a high volume of calls, highly disciplined with follow-up, and experienced using CRM systems—particularly GoHighLevel. Primary Objective Contact inbound leads who have requested information, gather key qualification details, and schedule appointments with a Senior Analyst who will evaluate their situation and recommend appropriate solutions. Key Responsibilities 1. Lead Contact & Engagement Contact inbound leads promptly via phone, SMS, and email Respond to leads who have requested information or submitted inquiries Build rapport and establish trust quickly Answer basic questions regarding our process Maintain a professional and helpful demeanor at all times Ensure every lead receives timely communication and follow-up 2. Lead Qualification Gather and verify essential information, including: Lead identity Contact information Basic overview of their situation Urgency level Scheduling availability Determine whether the lead meets the minimum criteria for a Senior Analyst review. 3. Appointment Setting Schedule qualified leads with a Senior Analyst. Clearly communicate: The purpose of the appointment What the analyst will review Expected call duration Any preparation required prior to the meeting Ensure appointments are confirmed both verbally and through CRM automation. 4. CRM Management (Critical Function) We use GoHighLevel (GHL) as our CRM. Maintaining accurate and complete records is a core responsibility and a key performance metric. Required CRM activities include: Logging all call attempts Recording conversation notes Updating lead statuses Managing pipeline stages Scheduling appointments Creating follow-up tasks Maintaining CRM accuracy and cleanliness Strong CRM discipline is non-negotiable. 5. Follow-Up & Persistence Follow structured follow-up sequences Re-engage leads who do not answer initially Reschedule missed appointments Maintain consistent communication until a lead is qualified or disqualified Keep the pipeline moving efficiently Daily Activity Expectations 50–150 outbound calls to inbound leads and follow-ups 2–5 hours of talk time 10–25 meaningful conversations per day 5–15 appointments scheduled per day (depending on lead volume and quality) 100% activity tracking within the CRM Key Performance Indicators (KPIs) Success in this role will be measured by: Primary Metrics Contact Rate (% of leads reached) Appointment Set Rate (% of contacts scheduled) Show Rate (% of appointments attended) CRM Accuracy & Completeness Speed to First Contact What This Role Is NOT Responsible For This position does not involve: Closing sales Giving legal advice Giving financial advice Recommending services Negotiating pricing Conducting consultations These responsibilities belong exclusively to our Senior Analysts. Required Qualifications Excellent verbal and written English communication skills Strong phone presence and confidence speaking with prospects Experience with GoHighLevel (preferred) Experience with appointment setting, lead qualification, or call center work Strong organizational and time-management skills Detail-oriented with accurate note-taking abilities Reliable internet connection and quiet work environment Ability to follow processes and maintain CRM discipline Persistent, coachable, and results-driven Ideal Candidate You are someone who: Enjoys talking to people Is comfortable making a high volume of calls Follows up consistently without needing supervision Takes pride in keeping systems organized Understands that speed and responsiveness directly impact business results Can build trust quickly while remaining professional and efficient Example Workflow New lead enters CRM Contact lead within 5 minutes whenever possible If contact is made: Introduce yourself Confirm their inquiry Gather qualification information Schedule analyst appointment Log notes and update CRM If no contact is made: Leave voicemail Send SMS follow-up Schedule next follow-up attempt Continue follow-up sequence until contact is made or lead is disqualified Compensation Please include the following with your application: Relevant experience Previous appointment setting or call center experience Experience using GoHighLevel or similar CRM systems Internet speed Availability and time zone A brief voice recording introducing yourself We are looking for someone who can become a long-term member of our team and help ensure every inbound lead receives fast, professional follow-up.
