Inbox Management Assistant — Inbox & Client Communications 20–40 hrs/week | Eastern Time overlap required | Ongoing contract ABOUT THE ROLE I'm looking for a sharp, self-directed executive assistant to take ownership of my inbox — primarily external client and event communications. You'll write under my name via Gmail delegation, manage follow-up campaigns for event invitations, and progressively take on more of my inbox over the next 12 months with the goal of running it end-to-end. This is not a task-execution role. I need someone who learns context quickly, uses good judgment, and operates like a trusted communications partner — not someone who needs step-by-step instructions for every email. WHAT YOU'LL OWN • Inbox triage: categorize and batch incoming messages so I can act in bulk or delegate entirely • Client and event communications: send invites, handle inbound questions, run follow-up cadences, and track RSVP status • Thread management: follow up on emails I send until the goal is achieved — without waiting for me to prompt you • Voice-matching: all outbound emails should read like I wrote them, not like they came from an assistant • Light scheduling and calendar coordination (~5% of time) • Personal assistance, research, and admin tasks (~20% of time) YOU'RE A STRONG FIT IF • You've written emails under someone else's name before and know how to match a voice precisely • You can manage 50–100 email threads without losing context or letting things slip • You know when to act on your own, when to flag for approval, and when to escalate — without needing explicit rules for every scenario • You write clearly, concisely, and warmly — no stiff or corporate language • You're genuinely curious about the businesses you support, not just the tasks • You own mistakes openly and adjust — no defensiveness • You're comfortable with ambiguity and changing priorities mid-stream TOOLS Gmail · Google Calendar · Slack · Airtable (custom app) IN YOUR APPLICATION, PLEASE INCLUDE • A brief overview of your inbox or communications management experience • An example of writing under someone else's name — what you did to learn their voice • Your availability and timezone • Answer this question in 3–5 sentences: I send a client an event invite.
