Insurance CRM / AI Workflow Systems Audit & Automation Roadmap

I am an insurance broker/business owner looking for a systems-minded consultant to help audit my current tech stack, map my workflows, and recommend a better operating system for my business. At the moment i do not need more leads. I need to organize what i have, clean up data, and get better automation and workflow to handle the current load and provide better customer service. This is an initial discovery/audit project with potential for follow-on implementation work. Current tools include Salesforce, Formstack, Gmail/Google Workspace, DocuSign, RingCentral, carrier websites/portals, whatsapp, Adobe, Asana, and a custom AI chatbot platform called BP Assist built with Vercel, Supabase, and OpenAI. The main problem: Too many service requests, carrier emails, policy payment reminders, claims updates, and lead follow-ups live in my inbox, as a response mode To do List, or in my head and or spread across chatgpt, gemini, and claude. I need a better workflow where tasks, reminders, service requests, and lead activity are tracked in the right system without everything depending on my memory. Maybe thats a Salesforce dashboard... What I need help with: Review my current tech stack and workflow Map the current lead flow from website/Formstack/BP Assist into Salesforce Recommend a better CRM/task/service request structure Design a workflow for customer service tickets, claims, policy changes, billing/payment reminders, and carrier follow-ups Recommend how carrier emails or carrier portal data could trigger tasks or reminders Identify what should live in Salesforce versus Google Sheets versus another ticketing/task tool Recommend automations using Salesforce Flow, Zapier, Make, n8n, APIs, or other tools Help create a dashboard showing open tasks, service requests, overdue items, payment reminders, claims follow-up, and lead follow-up Review how BP Assist should fit into the lead and customer service workflow Help structure RAG documents, FAQs, test questions, and onboarding workflows for new BP Assist tenants Create an implementation roadmap and SOP outline so a future admin assistant can maintain the system Ideal candidate: Strong experience with Salesforce CRM and workflow/process design Experience with Zapier, Make, n8n, APIs, or similar automation tools Comfortable reviewing business processes and recommending practical systems Experience with AI chatbots, RAG/knowledge bases, or AI workflow tools is a strong plus Able to think like a systems architect, not just complete isolated tasks Good communication skills and ability to explain recommendations clearly Insurance, financial services, healthcare, or regulated-industry experience is a plus First project/deliverables: Current-state workflow map List of major pain points and system gaps Recommended future-state workflow Recommended tools/automation approach Prioritized implementation roadmap SOP outline for a future admin/operations assistant I am not looking for a basic Virtual assistant for this first phase. I am looking for someone who can help design the system first. If the initial audit goes well, there may be follow-on work to help implement the recommendations.
