Intake Specialist – Legal/Insurance (Remote | Fluent English Required)

About the Role We are a consulting firm hired to staff a highly organized and professional Intake Specialist to serve as the first point of contact for new clients of a US-based law firm. This is a client-facing, detail-oriented role where first impressions matter. You will be responsible for gathering information, qualifying leads, managing records in our CRM, and ensuring every client interaction is handled with care, accuracy, and full compliance with applicable regulations. Key Responsibilities - Conduct intake calls with prospective clients in a professional, empathetic manner - Collect and document client information accurately in our CRM system - Coordinate with legal team members as needed - Scan and upload handwritten or physical documents into our case management system - Follow established intake protocols while maintaining strict confidentiality - Schedule Zoom consultations and follow up with prospective clients in a timely manner - Maintain organized records and flag any compliance concerns Requirements - Fluent, professional English – written and spoken (this is non-negotiable; most client communication is in English) - Reliable high-speed internet connection – required for VoIP/web-based calls without drop-offs or lag - Working headset – noise-canceling preferred for clear call quality - Working printer/scanner – ability to scan and upload handwritten or physical documents - CRM experience – must be comfortable navigating and entering data into a CRM platform (please specify which CRMs you've used in your application) - Prior intake experience – with a law firm, insurance company, or similar regulated environment - Ability to handle sensitive information with discretion and comply with applicable privacy and regulatory frameworks (e.g., HIPAA, attorney-client privilege, insurance regulations) - Self-motivated and able to work independently with minimal supervision Nice to Have - Bilingual (Spanish or other languages a strong plus) - Experience with legal case management software - Background in personal injury, immigration, bankruptcy, insurance claims, or similar practice areas Interview Process Shortlisted candidates will be invited to a Zoom video interview before any offer is made.
