International Tax Advisor for Digital Nomads
Worldwide
1. Initial Setup and Comprehensive Review (One-Time or First 1–2 Months) Consolidate filings and expenses (your point 1): Review and organize all historical and current financial records, Airwallex transaction exports, offshore account statements, contractor invoices/payments, and existing books. Reconcile everything into a unified system (recommend Xero or QuickBooks integration with Airwallex for automation). Produce clean consolidated financial statements/reports showing UK Ltd and US LLC positions. Full diagnostic of your current structure: Assess tax residency risks (UK SRT, Indonesia 183-day rule, other countries), potential permanent establishment, entity classification, and compliance gaps. Tax plan to unify everything (your point 2): Deliver a tailored overall tax strategy that integrates UK Ltd, US LLC, personal nomad position, contractor flows, and Airwallex/offshore elements. Include optimization opportunities (e.g., salary vs. dividends in UK, treaty benefits, deferral, FX handling), legitimate ways to minimize exposure while staying compliant, and risks of "no residency" approach. Timelines for next filings: Create a detailed compliance calendar with all upcoming deadlines (e.g., UK Corporation Tax, Confirmation Statement, US Form 5472 + pro forma 1120, any VAT/self-assessment, potential local filings). Include reminders, required actions, and who files what. Review and optimize payment management and expensing (your point 4): Analyze Airwallex setup and recommend best practices for contractor payments, expense categorization (deductible vs. personal), multi-currency handling, FX gain/loss tracking, and integration with accounting software. Suggest improvements for efficiency, compliance, and tax treatment (e.g., corporate cards, approval workflows, reimbursement policies). 2. Ongoing Compliance, Filings, and Management Manage and prepare filings: Handle preparation (and, where licensed/appropriate, support submission) of all required returns and forms for both entities and any personal obligations. This includes US 5472 compliance, UK CT600/corporation tax, annual accounts, and monitoring for other jurisdictions triggered by your travel or contractors. IR35 compliance (your point 3): Assess IR35 status for any UK-related contracting work (off-payroll working rules). Provide guidance on contracts, determination processes, record-keeping, and mitigation if operating through your UK Ltd or engaging UK contractors. Monitor for changes and ensure payroll/reporting compliance where applicable. Bookkeeping and accounts management: Monthly or quarterly reconciliation of Airwallex, offshore, and other accounts. Categorize expenses correctly for tax purposes, track contractor payments, handle multi-currency conversions, and maintain audit-ready records. Contractor employee support: Ensure proper classification, withholding/reporting (if required), invoicing standards, and compliance with local rules in work countries. Advise on contracts and payment structures via Airwallex. 3. Strategic and Optimization Support (Ongoing) Tax optimization plan (ongoing refinement of your point 2): Regular reviews (quarterly or as needed) of opportunities to refine structure, such as entity adjustments, profit extraction strategies, treaty claims, expense maximization, and planning around travel patterns to manage residency risks. Payment management and expensing optimization (your point 4): Recommend and help implement best structure (e.g., Airwallex Global Accounts setup, virtual cards per entity, automated expense policies, integration with accounting software). Advise on tax-efficient expensing, VAT recovery where possible, and minimizing FX tax events. Proactive advisory: Monitor law changes affecting nomads, UK/US/Indonesia rules, fintech reporting, CRS/FATCA, and provide alerts on risks or opportunities. Support annual reviews and scenario planning (e.g., "what if I spend more time in X country?"). Consolidated reporting: Deliver easy-to-understand dashboards or reports showing overall financial position, tax liabilities, cash flow across entities, and key metrics. Additional Recommended Tasks and Considerations Record-keeping systems: Set up or improve processes for travel logs (for residency tests), digital document storage, and audit trails. Risk assessments: Periodic reviews for PE risks, controlled foreign company rules, beneficial ownership reporting, and banking de-risking. Collaboration: Work with you remotely (flexible time zones), provide explanations in plain language, and coordinate with any other professionals (e.g., lawyer for contracts). Software recommendations/setup: Ensure seamless Airwallex + accounting platform integration; train you or your team on basic usage if needed.
