# Jobtread Admin / Client Communication Coordinator We are looking for a highly organized virtual assistant with **perfect spoken English** to support a residential contractor with daily project admin, lead follow-up, subcontractor communication, customer updates, document control, and CRM management. This role requires someone reliable, detail-oriented, proactive, and comfortable communicating by phone, SMS, Jobtread , and email. ## Main Responsibilities ### Jobtread Admin * Monitor Jobtread daily. * Clear all unread messages, notifications, and “bubbles.” * Acknowledge customer and subcontractor messages. * Track open questions, RFIs, pending decisions, and unanswered items. * Build a daily summary for Eddie, the owner. * Make sure no important message sits unanswered. ### Lead Follow-Up * Call new leads quickly and professionally. * Follow up with leads who have not responded. * Confirm basic project scope, timeline, interest, and next steps. * Update lead status and notes in GoHighLevel. * Notify Eddie of hot leads or urgent requests. ### Subcontractor Communication * Communicate with subcontractors through Jobtread and SMS. * Send morning reminders with daily goals and expectations. * Confirm who is showing up and what work is planned. * Collect end-of-day reports, photos, delays, material needs, and next steps. * Follow up with subs who do not respond. * Escalate urgent production issues to Eddie. ### Customer Communication * Turn subcontractor reports into professional customer-facing job logs using ChatGPT. * Post/send daily customer updates through Jobtread . * Acknowledge customer replies quickly. * Give customers clear expectations on when answers will be provided. * Summarize customer questions for Eddie. * Relay Eddie’s answers back to the customer clearly and professionally. ### Document Control * Keep contracts, scopes, drawings, selections, change orders, estimates, and project documents organized and up to date. * Make sure updated documents are shared with the design team, production team, subcontractors, and client when needed. * Track missing, outdated, or unsigned documents. * Notify Eddie when documents need approval, revision, or signature. ### Software / CRM Management Primary tools include: * Jobtread * GoHighLevel * SMS * Email * ChatGPT * Google Drive or similar document storage Responsibilities include: * Manage leads in GoHighLevel. * Operate Jobtread for project communication and tracking. * Clear daily notifications. * Track unanswered RFIs and customer/sub questions. * Remind Eddie when responses are needed. * Relay responses to customers, subs, and team members. * Create a daily summary showing leads, customer questions, sub updates, open RFIs, delayed responses, production issues, and documents needing attention. ## Required Skills * Perfect or near-perfect spoken English. * Excellent written English. * Strong phone communication skills. * High attention to detail. * Strong follow-up habits. * Ability to organize messy information clearly. * Experience with CRM or project management software. * Comfortable using ChatGPT. * Professional communication with homeowners, subcontractors, and internal team members. * Reliable daily availability. ## Preferred Experience Experience with Jobtread , GoHighLevel, residential construction, remodeling, contractors, construction admin, project coordination, or home service businesses is a plus. Construction experience is helpful but not required if you are smart, organized, and willing to learn. ## Ideal Candidate The right person will become the daily communication hub between Eddie, customers, subcontractors, and Jobtread . We do not want someone who only waits for instructions. We want someone proactive who notices unanswered messages, follows up, organizes information, and makes Eddie’s day easier. ## Application Instructions To apply, please answer: 1.
