Woodlite Management โ€“ Property Management & Leasing Coordinator Bilingual (English & Spanish Preferred) ๐Ÿ•’ Schedule * Part-time (20-30 hrs) *Highly responsive and proactive * Long-term opportunity * Some flexibility required for showings coordination and urgent follow-ups ๐ŸŽฏ Role Overview Woodlite Management is seeking a highly organized Property Management & Leasing Coordinator to support the day-to-day operations of our residential rental portfolio. This role combines administrative property management with leasing coordination. The ideal candidate is detail-oriented, comfortable working with multiple systems, and able to follow established SOPs while providing excellent service to both owners and tenants. ๐Ÿ—‚๏ธ Responsibilities Property Management Administration * Send monthly owner statements and payment notifications * Reconcile rent payments and owner accounts * Assist with bookkeeping and Buildium reconciliations * Onboard new property owners * Onboard new tenants after lease execution * Maintain organized property and tenant files * Communicate with owners regarding property updates * Coordinate maintenance requests and follow-up with vendors * Track insurance, utilities, and move-in documentation Leasing Coordination * Respond to inquiries from Zillow, Facebook Marketplace, Tenant Turner, and company website * Pre-screen prospective tenants * Schedule and confirm property showings through Tenant Turner * Send rental applications and monitor completion * Review applications for completeness (no approval authority) * Collect supporting documents including co-signer, pet, and income verification * Coordinate lease preparation and electronic signatures through Dotloop * Schedule move-ins and communicate next steps Systems & Documentation * Update Buildium daily * Maintain leasing trackers in Dotloop * Log communications and notes * Ensure all files are complete and compliant * Follow company SOPs and Fair Housing guidelines * Escalate issues requiring management approval ๐Ÿ›  Preferred Software Experience * Buildium * Tenant Turner * Zillow Rental Manager * Dotloop * Notion * RingCentral * Gmail * Google Workspace (Docs, Sheets, Calendar) ๐Ÿ” Ideal Candidate * Property management or leasing experience preferred * Strong administrative and organizational skills * Excellent written and verbal communication * Detail-oriented and process-driven * Comfortable managing multiple properties simultaneously * Able to work independently with minimal supervision * English required * Spanish strongly preferred โŒ This Role Does NOT Include * Leasing approval decisions * Legal advice * Financial authorization * Independent decision-making outside company policies ๐Ÿ’ฐ Compensation * Hourly or monthly retainer (based on experience) * Performance-based raises and bonuses * Opportunity to grow into a Senior Property Management or Operations role ๐Ÿ“ฅ How to Apply Please include: * Your property management or leasing experience * The property management software you've used (Buildium, AppFolio, Tenant Turner, Dotloop, etc.) * Your weekly availability * Whether you have experience reconciling owner accounts and rent payments * Whether you speak English and Spanish * Your desired hourly rate
