Legal Intake Specialist – U.S. Estate Planning About Us The Jewel Law PLLC is a client-centered estate planning law firm dedicated to helping individuals and families protect their assets, plan for the future, and preserve their legacies with clarity, compassion, and integrity. Our practice focuses on wills, trusts, incapacity planning, asset protection, probate, trust administration, and related estate planning matters. Position Overview We are seeking an experienced Legal Intake Specialist with at least three years of professional experience in financial planning, wealth management, or a closely related field, together with a strong working knowledge of U.S. law. The ideal candidate will serve as the first point of contact for prospective clients and help identify their estate planning needs, organize financial and family information, schedule consultations, and support client onboarding. This position is ideal for someone who is organized, detail-oriented, client-focused, financially knowledgeable, and comfortable discussing sensitive family, asset, and legacy-planning matters. A Juris Doctor (J.D.) degree is strongly preferred. Key Responsibilities • Conduct detailed client intakes concerning family circumstances, assets, liabilities, financial goals, beneficiaries, and existing estate planning documents. • Answer phone calls, emails, and inquiries from prospective and existing clients in a professional and compassionate manner. • Schedule consultations, follow up with leads, and support the conversion and onboarding of qualified prospective clients. • Gather and organize relevant records, including prior wills and trusts, deeds, business documents, financial statements, insurance information, retirement accounts, and beneficiary designations. • Complete intake questionnaires and prepare clear, accurate intake summaries for attorney review. • Explain the firm’s estate planning process and service options without providing unauthorized legal, tax, or financial advice. • Track consultations, retainers, case progress, and outstanding documents, and follow up with clients as needed. • Maintain accurate notes and client information in the firm's CRM, case management, and document management systems. • Coordinate, when authorized, with financial advisors, accountants, insurance professionals, and other members of a client’s planning team. • Escalate complex legal, tax, financial, or urgent client matters to the appropriate attorney or professional. Qualifications • Minimum three years of experience in financial planning, wealth management, banking, insurance, tax planning, or a closely related client advisory field. • Strong working knowledge of U.S. estate planning law, terminology, documents, and client intake procedures. • Juris Doctor (J.D.) degree strongly preferred; candidates with substantial U.S. legal education or estate planning experience will also be considered. • Strong written and verbal English communication skills, including the ability to explain complex information clearly and professionally. • Exceptional attention to detail, discretion, judgment, and organizational ability when handling confidential legal and financial information. • Ability to manage multiple prospective clients, consultations, follow-ups, and deadlines simultaneously. • Experience using CRM, case management, financial planning, and document management systems. • Experience working with high-net-worth individuals, families, business owners, retirees, or older adults is a plus.
