If you're looking to do work that's fast-paced, ambitious, and genuinely life-changing, then Flint is where you'll do the most meaningful work of your career. **The Role: Licensing Associate** We’re hiring a sharp, detail-oriented Operations Associate to support our licensing function and help international healthcare professionals move through the U.S. licensing process smoothly and efficiently. Licensing is one of the most important parts of a candidate’s journey. Before any healthcare professional can start work in the U.S., they often need to complete state Board/Registry applications, credential evaluations, document requests, license verifications, and other time-sensitive steps. A missed document, delayed follow-up, or incorrect submission can slow down their start date and affect both the candidate and the hospital waiting for them. That’s where you come in. You’ll support the Licensing Manager with day-to-day licensing operations, candidate follow-ups, document tracking, application support, and communication with external organizations. You’ll work across tools like Airtable, Slack, Notion, and Zapier to keep candidate records accurate, tasks moving, and stakeholders informed. This role is ideal for someone who is highly organized, proactive, strong in written communication, and comfortable owning detailed operational work from start to finish. **Key Responsibilities** - Support the Licensing Manager with candidate licensing workflows and administrative tasks. - Track candidate licensing progress across internal systems such as Airtable, Notion, and Slack. - Create and update playbooks from time to time. - Assist with preparing, reviewing, and submitting licensing-related documents and applications. - Communicate with candidates to request missing information, provide updates, and guide them through required licensing steps. - Follow up with Boards of Nursing, schools, credentialing agencies, and other external organisations. - Maintain accurate candidate records and ensure all updates are properly logged. - Monitor deadlines, pending tasks, and follow-up items to prevent delays. - Help identify bottlenecks in the licensing process and escalate issues when needed. - Support the creation and improvement of internal guides, templates, and workflows. - Use tools such as Airtable, Slack, Notion, and Zapier to manage tasks and support operational efficiency. - Collaborate with internal teams to ensure a smooth candidate experience. **Required Skills and Qualities** - Strong attention to detail and accuracy. - Excellent written communication skills. - Strong organisational and time management skills. - Ability to manage multiple candidates, tasks, and deadlines at the same time. - Comfortable following structured processes and checklists. - Proactive approach to follow-ups and problem-solving. - Strong sense of ownership and accountability. - Ability to communicate professionally with candidates and external organisations. - Comfortable working remotely and independently. - Willingness to learn healthcare licensing processes and internal systems. - Fast learner and can hit the ground running **Tools You’ll Use** - Airtable - Slack - Notion - Zapier - Google Workspace - AI tooling and automations (ChatGPT, Claude, Zapier, Airtable Automations, etc) - Email and document management tools **Nice to Have** - Previous experience supporting the licensing process for healthcare professionals in the United States. - Experience communicating with Boards of Nursing, universities, nursing schools, and other institutions to request official documents for credential evaluation. - Familiarity with credential evaluation organisations such as CGFNS and Josef Silny & Associates. - Understanding of document request processes for transcripts, diplomas, license verifications, and other licensing-related records. - Previous experience in operations, administration, recruitment, healthcare, or customer support. - Familiarity with Airtable, Notion, Slack, or Zapier. - Familiarity with AI, no code, and automation tooling - Experience handling sensitive candidate information. - Interest in process improvement and automation. **Why This Role Is Different** - You’ll directly impact people’s lives - the candidates you support are working toward life-changing opportunities in the U.S. Your work helps them move one step closer to starting their new roles and building new lives. - You’ll work on a critical part of Flint’s operations - licensing is one of the key steps that determines whether candidates can start work on time.
