Make.com expert - fix HubSpot payment schedule sync to QuickBooks Online

Overview We're running HubSpot CRM, QuickBooks Online, and Make.com. We need a Make.com expert to build a scenario that fixes a broken invoice sync between HubSpot and QBO when payment schedules are involved. The problem When a deal closes in HubSpot, we use HubSpot's payment schedule feature to split the total into installments - for example, three payments across a booking cycle. The native HubSpot–QBO integration creates three separate invoices correctly, but the product/service name on each invoice is not what we expect. If you've worked with this integration before, you know exactly what I am talking about! The result is QBO invoices that don't reflect what was sold, which breaks our reporting and looks unprofessional when a client goes to pay. What we need built A Make.com scenario that: - Triggers when a HubSpot deal stage moves to Closed Won - Reads the deal's line items - specifically the Line Item and total amount - Reads the payment schedule milestones - milestone name, due date, and amount for each installment - Creates one QBO invoice per payment milestone, structured as follows: - Product/service = the package name from the deal's line items - Description = the milestone label (e.g. "Payment 2, due March 26, 2026") - Amount = the installment amount - Due date = the milestone due date - Customer = mapped from the HubSpot contact or company - Handles edge cases: deals with multiple line items, deals with a single flat-fee payment (no schedule), and mismatched totals Note: we want to retain the native HubSpot/QBO connection for other sync purposes. The scenario should target only Closed Won deals with a payment schedule and not interfere with other deal stages. Our stack - HubSpot CRM - Sales Hub, custom deal pipeline with a Closed Won stage - QuickBooks Online - Make.com - already connected to both HubSpot and QBO Deliverables - Working Make.com scenario, fully documented with module-level notes. - Fully documented - We will test it before signing off completion. Need to Have - Strong Make.com portfolio - please share screenshots or examples of HubSpot and QBO scenarios you've built (please don't share irrelevant make.com portfolio) - Solid understanding of the HubSpot Deals API, especially line items and associations - Experience with QBO invoice creation via Make.com native modules (custom API calls are fine if needed) - Has worked with HubSpot payment schedules specifically - this is a niche area and direct experience matters
