Marketing & Administrative Coordinator

We are looking for a proactive, highly organized Marketing, Partnerships, Outreach & Administrative Coordinator to help support Halloween House and Christmas House in New Jersey. This role combines marketing outreach, partnership development, community engagement, and administrative support. We need someone who can both help generate opportunities and keep the day-to-day outreach organized and moving. Responsibilities include: * Developing partnerships with schools, PTOs, youth organizations, colleges, community groups, and local businesses * Contacting corporate HR departments regarding employee discounts, group outings, and promotional opportunities * Identifying and reaching out to influencers, family creators, mom creators, lifestyle creators, and local personalities * Assisting with sponsorship outreach and product partnerships * Researching businesses, organizations, decision-makers, and contact information * Sending approved outreach emails and following up consistently * Building and maintaining contact lists * Managing outreach spreadsheets or CRM tracking * Scheduling calls, meetings, influencer visits, partner visits, and media-related appointments * Organizing responses and keeping track of outstanding follow-ups * Submitting Halloween House and Christmas House to community calendars, event listings, tourism sites, and local directories * Assisting with group booking and partnership inquiries * Coordinating promotional materials and making sure partners receive what they need * Helping organize sponsorship information, influencer lists, school lists, corporate contacts, and community outreach * Supporting general marketing-related administrative tasks * Providing a weekly update showing outreach completed, responses received, follow-ups needed, and partnerships or opportunities in progress We are looking for someone who is: * Extremely organized * Comfortable with cold outreach * Strong in written communication * Persistent with follow-ups * Able to research independently * Comfortable managing spreadsheets and contact databases * Proactive and able to suggest new outreach opportunities * Able to work independently without needing step-by-step direction Experience with events, attractions, entertainment, hospitality, local marketing, partnerships, sponsorships, community outreach, or administrative support is preferred.
