Marketing Coordinator / Marketing Operations Manager We’re looking for a hands-on Marketing Coordinator / Marketing Operations Manager to help run our day-to-day marketing engine. This role is ideal for someone who is highly organised, confident in HubSpot, strong with campaign execution, and comfortable working across CRM, reporting, sales alignment, tradeshows, and marketing operations. You’ll help us launch and track multi-channel campaigns, keep HubSpot clean and reliable, support sales and marketing processes, coordinate tradeshows and marketing materials, and make sure performance reporting is clear and actionable. We work with over 20,000+ jewelers, diamond dealers, gemstone dealers, and luxury retail businesses around the world. What You’ll Do HubSpot CRM & Marketing Operations You will help own and improve our HubSpot setup, including: Managing lifecycle stages from Lead → MQL → SQL → Opportunity → Customer Working with Sales to define clear entry and exit criteria for each stage Building and maintaining workflows, lead scoring, routing, properties, lists, and forms Maintaining UTM conventions, lead sources, and CRM data hygiene Supporting deduplication, enrichment, and clean reporting Setting up dashboards for pipeline, MQL to SQL conversion, demo bookings, show rate, and influenced revenue Campaigns & Performance You will support the planning, launch, and tracking of marketing campaigns across: Email and SMS Meta, Google, and LinkedIn ads Retargeting campaigns Partner campaigns Product launches and promotions Responsibilities include: Creating campaign briefs Coordinating creative assets Building or updating landing pages in HubSpot and Shopify QA testing links, forms, tracking, UTMs, and automations Tracking performance through GA4, HubSpot, and ad platforms Reporting on CPL, CAC, ROAS, pipeline influence, and revenue impact Content Distribution You will help keep our content moving across channels, including: Coordinating the content calendar Publishing to email, social, partner channels, and sales channels Managing delivery of sales decks, one-pagers, brochures, and campaign assets Repurposing key content into emails, reels, landing pages, and sales enablement materials Writing or editing clear, concise copy for subject lines, CTAs, landing pages, and short-form campaign assets Tradeshows & Events You will help coordinate end-to-end tradeshow and event execution, including: Pre-show outreach Onsite lead capture process Post-show nurture sequences Booth coordination Freight, collateral, demos, and staff schedules Lead tracking from captured leads → meetings booked → pipeline and revenue influence Sales & Marketing Alignment You will help keep our sales and marketing process tight, including: Maintaining SLAs for speed-to-lead, follow-up, and lead recycling Ensuring CRM notes, meeting outcomes, lead statuses, and deal stages are updated correctly Supporting weekly performance readouts Identifying gaps in process, reporting, or follow-up Turning campaign insights into clear next-step actions Tools You’ll Use You should be comfortable working with: HubSpot Marketing Hub and Sales Hub GA4 Meta Ads Manager Google Ads LinkedIn Ads Shopify Looker Studio Excel / Google Sheets Zapier or Make Slack Notion / Asana Canva or Adobe tools are a bonus You’re a Great Fit If You Have 3 to 7+ years of experience in B2B, B2C, e-commerce, or product-led marketing Can confidently work inside HubSpot without heavy hand-holding Understand workflows, scoring, reporting, forms, lists, ads, and landing pages Are comfortable reading dashboards and turning insights into action Are highly organised with calendars, checklists, runbooks, and follow-ups Stay calm under deadlines, especially during launches, campaigns, and tradeshows Can write clear and concise marketing copy Can give practical design and creative feedback Understand basic consent and compliance requirements such as GDPR, CAN-SPAM, and the Australian Spam Act Are proactive, detail-oriented, and comfortable working with a fast-moving team Nice to Have Shopify experience, including checkout, discount codes, pixels, and tracking Experience in jewelry, luxury, or high-consideration e-commerce HubSpot certifications GA4 certification Looker Studio dashboard examples or portfolio Experience with tradeshow or event marketing Success Looks Like in the First 60 to 90 Days HubSpot audit completed with key fixes identified and actioned Lifecycle stages, routing, lead sources, and UTMs cleaned up and standardised Live dashboards built for MQL to SQL rate, speed-to-lead, show rate, pipeline, and revenue influence Two campaigns shipped end-to-end with clear tracking, CPL / ROAS reporting, and learnings Tradeshow runbook created or improved, covering lead capture, nurture, and meeting conversion Sales and marketing SLA documented and adopted by the team What to Include in Your Proposal Please include: A 3 to 5 bullet summary of your most relevant HubSpot experience Examples of workflows, scoring, dashboards, or reporting you have built A Looker Studio or dashboard screenshot/link, with sensitive data redacted A brief campaign example, including goal, channels, budget, and result Your timezone and overlap with Australia/Sydney Any relevant certifications, including HubSpot, GA4, or Looker Studio Screening Questions Please answer briefly: How would you define MQL vs SQL for a sales-assisted product, and who should own the definition? What speed-to-lead SLA would you recommend, and how would you enforce it in HubSpot? Which three metrics would you check daily to spot campaign or pipeline issues early, and why? Share one tradeshow process you implemented that helped increase post-show meetings. What is one HubSpot reporting or workflow issue you commonly see, and how do you fix it?
