Part-Time Marketing Virtual Assistant Type: Part-time freelance contractor (est. 10–20 hrs/week) Location: Remote, US-based Reports to: Nicole, Glasshouse About the role We're looking for an organized, proactive marketing virtual assistant to take day-to-day marketing operations and admin work off our plate. This is a support role, not a strategy role: you'll keep our tradeshows/events, merch, invoicing, and social publishing running smoothly so the team can focus on the bigger picture. This is a great fit for an experienced freelancer who already supports a few clients and has room for one more. You're a fit if you love checklists, follow through without being chased, and can juggle several moving pieces at once. What you'll do Tradeshow & event logistics -Coordinate booth registration, shipping, travel, and vendor deadlines -Track deliverables and timelines; keep a running checklist for each event -Handle post-event lead organization, managing CRM (Hubspot) lists -Work with design and print vendors, managing show deliverables like flyers, popups banners, etc. Administrative & financial support - Submit and track invoices; keep spending records tidy - Order marketing merch and swag, manage inventory, and reorder as needed - Maintain clean, well-labeled folder structures for marketing assets Social media publishing support - Schedule and publish approved posts across our channels - Format content, resize assets, and keep the content calendar current - Looking for someone interested in taking more ownership over creation of organic content on social channels What we're looking for - Marketing coordinator, or similar support role; VA experience is a bonus! - Strong organization and follow-through — nothing slips through the cracks - Comfort with common tools (Google Workspace, Slack, project tools like Notion or Trello - Clear written communication and reliable responsiveness during agreed hours - Experience with tradeshow/event coordination or basic graphic tools (Canva) Nice to have - Familiarity with invoicing / expense tracking - Design sense for social assets - Experience supporting a B2B or product marketing team How to apply Send a short note about relevant experience, your hourly rate, your weekly availability, and one example of a marketing or event project you kept organized end to end.
