Medical Virtual Assistant – Healthcare Operations Specialist (Patient Support Coordination) Job Overview We are seeking an experienced Medical Virtual Assistant (MVA) to support patient access and healthcare operations for a busy U.S.-based medical practice. The ideal candidate has experience coordinating patient care, managing referrals, scheduling appointments, and navigating Electronic Medical Records (EMR) systems while maintaining exceptional patient service. This role requires someone who is organized, detail-oriented, and comfortable working in a fast-paced healthcare environment. ## Responsibilities * Manage new patient intake and referral coordination * Contact patients to gather required intake information * Schedule and reschedule patient appointments * Coordinate with providers and clinical staff regarding patient schedules * Retrieve and upload medical records from external EMR portals * Maintain accurate patient documentation within EMR systems * Handle patient communications via phone, email, and patient portals * Monitor referrals and follow up on outstanding documentation * Ensure HIPAA compliance and patient confidentiality * Perform general healthcare administrative support as assigned ## Preferred Qualifications * Previous experience as a Medical Virtual Assistant * Experience working with U.S. healthcare providers or medical practices * Knowledge of patient intake workflows and referral management * Experience using Electronic Medical Records (EMR/EHR) * Strong English communication skills (written and verbal) * Excellent organizational and multitasking abilities * Reliable high-speed internet and dedicated home office ## Preferred Experience Candidates with experience in any of the following will be highly regarded: * Oncology * Hematology * Specialty clinics * Primary care * Medical scheduling * Patient access * Medical records management * Healthcare administration * Insurance verification (preferred but not required) ## Nice to Have * Clinical background (RN, LPN, Medical Assistant, or similar) * Medical coding knowledge (ICD/CPT) * HIPAA Certification * Experience with multiple EMR platforms ## What We're Looking For We are looking for someone who is proactive, compassionate, and able to work independently while providing outstanding support to both patients and the clinical team.
