Member Services Admin Document Agent

We are looking for a detail-oriented, organized, and dependable Member Services Admin Agent to support the Member Services Document Specialist with daily administrative and document-related tasks. This role focuses on keeping documentation accurate, organized, and up to date. You will assist with invoices, supporting documents, Expected Credits, missing POs, Zendesk tickets, and other administrative tasks assigned by the Document Specialist. The ideal candidate is someone who follows instructions carefully, pays attention to details, works efficiently, and can become increasingly independent as they learn our systems and processes. Key Responsibilities: Document & Administrative Support Review supporting documents for completeness and accuracy. Upload, tag, and organize documents in the appropriate systems. Identify missing, incomplete, unclear, or duplicate documentation. Attach supporting documents to the appropriate Zendesk tickets. Maintain organized records and documentation. Assist with general administrative tasks assigned by the Document Specialist. Expected Credit Support Assist with reviewing Expected Credit documentation. Research invoices and supporting documents related to potential credits. Identify missing information or documentation. Upload and properly tag supporting documents. Track items requiring additional information or follow-up. Escalate questions or questionable items to the Document Specialist. Help maintain accurate Expected Credit records. Missing PO & Supporting Documents Monitor tickets for missing POs and supporting documentation. Research available information to locate missing documents. Assist with member follow-up when documentation is required. Verify documentation before tickets are closed. Help prevent unresolved documentation requests from being unnecessarily carried over. Identify and assist with deleting duplicate e-invoices when instructed. Zendesk Support Maintain clear and accurate ticket documentation. Use Zendesk search to locate existing information. Help locate vendor and credit-related contact information. Identify missing or incorrect information and report it to the Document Specialist. Ensure required documentation is attached to tickets. Keep ticket information organized and up to date. CrossDoc & Document Processing Assist with document-related tasks in CrossDoc. Review documents for obvious errors, missing information, or duplicates. Assist with rescans when documents are incomplete or unreadable. Follow established instructions for document processing. Escalate issues that require additional review. Qualifications Required: Strong attention to detail. Excellent organizational skills. Reliable and dependable. Ability to follow detailed instructions. Strong written communication skills. Comfortable working with documents and data. Ability to stay focused while completing administrative tasks. Comfortable learning new software and systems. Willingness to ask questions when something is unclear. Consistent attendance and punctuality. Preferred: Experience with Zendesk or similar ticketing systems. Experience working with invoices or financial documents. Experience with Excel or Google Sheets. Experience in restaurant, hospitality, foodservice, purchasing, or accounts payable. Experience with document management or scanning systems. Schedule & Pay This is a part-time position: Monday–Friday | 11:00 AM–3:00 PM 20 hours per week $7.00 per hour Additional hours may become available for employees who demonstrate strong performance, reliability, accuracy, and the ability to take on additional responsibilities. What Success Looks Like A successful Member Services Admin Agent will: Complete assigned tasks accurately and on time. Keep documents organized and easy to locate. Catch missing or incorrect information. Follow established procedures consistently. Keep Zendesk tickets properly documented. Handle repetitive administrative work with accuracy and attention to detail. Communicate when something is unclear or requires additional attention. Demonstrate reliable attendance and punctuality. Become more independent and efficient as they gain experience.
