Microsoft Power App - Job Review

PROJECT OVERVIEW We are a crane maintenance and field service business operating across mine sites in Queensland. Technicians complete job cards in Simpro (field service management software) and email the resulting PDF to a shared internal mailbox on completion of each job. The business requires an automated system that: • Reads incoming job card PDFs from the shared mailbox without any manual intervention - Complete • Uses AI to extract and summarise the key information from each job card - Complete • Stores the structured data in Microsoft Dataverse - Complete • Provides an internal Power Apps dashboard for the operations team to review job cards daily • Allows operations to send a professional service report to the customer directly from the app with a single action • Attaches completed job card PDFs to the corresponding job record in the SharePoint jobs list for use in the customer portal - Complete The solution must be built entirely within the Microsoft Power Platform ecosystem with the exception of the Anthropic Claude API for AI processing. No other external platforms or services are permitted. Current process Currently, technicians email completed Simpro job cards. The operations team manually reads each PDF, extracts relevant information, and communicates with customers by email. This process is time-consuming, inconsistent, and creates delays in customer reporting. Desired outcome The completed system should reduce the operations team's job card review and customer reporting time from approximately 15–20 minutes per job to under 2 minutes. The AI extraction and email composition should be automatic. The operations team's role is review and approval only — not data entry or writing. (Editing of the AI summary must be available if required though.)   The Power Automate Flow and Dataverse Table and referance lists have been created and are complete. This is just to build the Power App portion. I have a detailed build guide that will be provided to ensure it works with the structure already built and requirements.
