Summary

Microsoft 365 SharePoint Consultant – Build & Optimise Company Intranet, IMS & Business Systems Overview We are an Australian electrical infrastructure company specialising in high-voltage electrical construction, design, commissioning and project delivery. We are looking for an experienced Microsoft 365 / SharePoint specialist to help us design, build and optimise our SharePoint environment into a central business management system. This is not simply a website build. We want someone who understands business processes, document control, automation and the Microsoft ecosystem, and can recommend best practice rather than simply building what we ask for. Initially this will be a project-based engagement, however there is strong potential for ongoing work as our systems continue to evolve. Current Environment We currently use: Microsoft 365 SharePoint Microsoft Teams Microsoft Forms Power Automate Monday.com (currently used for registers and forms) OneDrive Our goal is to move away from Monday.com where practical and centralise our business systems within Microsoft 365. Project Objectives 1. Company Intranet Develop a professional SharePoint Intranet that becomes the central location for our staff. The intranet should include areas such as: Company announcements News Policies & Procedures Quick Links Staff Resources Training Forms Business Dashboards Company Documents 2. Integrated Management System (IMS) We have an established IMS covering Quality, Safety and Environmental systems. We require assistance developing a controlled document management system including: Controlled document libraries Version control Approval workflows Review reminders Document owners Issue registers Controlled templates Archive process Read-only published documents Controlled access permissions 3. Registers We currently maintain many registers within Monday.com which we would like migrated into SharePoint / Microsoft Lists where appropriate. Examples include: Training Register Asset Register Plant Register Calibration Register PPE Register Contractor Register Supplier Register Internal Audit Register Corrective Action Register NCR Register Risk Register Legal Register Competency Register Document Register Improvement Register Open to recommendations regarding Microsoft Lists, Dataverse or other Microsoft-native solutions. 4. Microsoft Forms Replace many of our Monday.com forms with Microsoft Forms and integrate them into SharePoint and Power Automate. Examples include: Project Forms HSE Forms Inspection Forms Equipment Requests Leave Requests Purchase Requests Corrective Actions Non-Conformance Reports Site Audits Toolbox Meetings 5. Department Team Sites Create structured SharePoint Team Sites for each business unit including: Design Project Management Construction HSE HR Accounts These should include: Document Libraries Dashboards Registers Templates Department Forms Permissions Automation where appropriate 6. Workflows & Automation We are looking to automate as many manual administrative tasks as possible. Examples include: Document approval Policy review reminders Training expiry notifications Calibration reminders Leave approvals Purchase approvals Corrective Action workflows NCR approvals Notifications Email automation Task creation Register updates Power Automate experience is essential. What We're Looking For We're looking for someone with strong experience in: SharePoint Online Microsoft Lists Microsoft Teams Microsoft Forms Power Automate Microsoft 365 Administration Document Control Systems Information Architecture Business Process Improvement Bonus experience: ISO 9001 ISO 45001 ISO 14001 Integrated Management Systems (IMS) Construction or Engineering businesses Quality Management Systems What Success Looks Like We are not looking for someone to simply follow instructions. We want someone who can: Recommend best practices Improve our current processes Challenge inefficient workflows Suggest better Microsoft solutions Build scalable systems that will grow with the business Engagement Initially project-based with clearly defined milestones. If the relationship is successful, we expect ongoing work for continual improvements and future Microsoft 365 projects. Please include examples of similar SharePoint intranet, document management or business systems you have built, particularly those involving document control, Microsoft Lists, Power Automate or ISO management systems.
