Project Type: End-to-End LMS Setup, Hosting, E-Commerce Integration, and Automation Core Stack: WordPress (Managed Hosting) + LearnDash + WooCommerce + Uncanny Owl Suite (Groups & Automator) Target Launch: Mid August 2026 Context: Merrion Data Consultants is a small, specialised team which provides data governance and data privacy consulting services to small and medium-sized companies. Our customers need training on data privacy for their employees. We are finding that hosted solutions are too expensive and require us to manage the learners, which we do not have the resources to do. We are therefore looking to invest in the development of our own LMS platform. Currently, we only have one course, as a SCORM file. However, we hope to expand our training offering with some more courses in time. 1. Project Overview & Objective We are launching a multi-tenant Learning Management System (LMS) built on WordPress that serves two distinct customer models: 1. B2C (Individual Learners): Individuals who purchase a single course online and are automatically enrolled into a shared, global LMS environment. 2. B2B (Corporate Tenants): Companies that purchase a block of course seats/licenses in bulk. Upon purchase, the system must automatically provision a private "Group Tenant" environment for that company. Their designated Group Leader must be able to add users, track progress, and view reports exclusively for their organisation. Key B2B Requirement: To deliver a white-label experience, corporate tenants must be able to upload their own company logo via their front-end dashboard. This logo must automatically brand their specific tenant interface, course navigation experience, and downloadable PDF reports for their learners. We require an experienced WordPress developer or boutique agency to handle the full technical infrastructure, LMS configuration, e-commerce workflows, white-label branding setup, and automations. 2. Scope of Work Phase 1: Server & Infrastructure Setup • Managed WordPress Hosting: Recommend and configure a high-performance, managed WordPress host optimised for dynamic WooCommerce and LearnDash database queries (e.g., Kinsta, Cloudways, or WP Engine). • Environment Configuration: Set up the production server, SSL certificate, automated daily backups, and a functional staging environment for testing updates and new automation recipes. • Core Installation: Fresh installation of the latest stable version of WordPress. Phase 2: LMS Architecture & Multi-Tenancy (LearnDash + Uncanny) • LearnDash Setup: Core installation and configuration of LearnDash LMS (global settings, profile pages, and general course framework). • Multi-Tenant Group Structure: Implement and configure Uncanny Groups for LearnDash to achieve strict multi-tenancy. • Group Leader Dashboards: Configure front-end management dashboards so client administrators can: o Manage their allocated course seats/licenses. o Invite, add, or bulk-import their own learners via CSV. o View and download progress reports exclusively for their group. • Tenant Co-Branding: Enable and configure the Uncanny Group Branding module. Group Leaders must have a front-end upload field to submit their company logo. Phase 3: E-Commerce & Automated Provisioning (WooCommerce) • WooCommerce Core Setup: Install and configure WooCommerce, including tax rules, checkout flows, and payment gateway integration (e.g., Stripe, PayPal). • B2C Setup (Individual Sales): Configure single-course products. Upon a successful checkout, the individual user must automatically receive an account and immediate enrolment into the course within the shared LMS tier. • B2B Setup (Bulk/Tenant Sales): Integrate WooCommerce with Uncanny Groups. Configure products that allow corporate buyers to select a quantity of seats. • Automated B2B Onboarding: Upon a successful bulk purchase, the system must automatically: o Create a private Uncanny Group (Tenant) named after the company or order. o Assign the buyer as the "Group Leader". o Allocate the purchased number of seats to that group. o Send an automated welcome email with a link directing them to their private management dashboard to upload their logo and invite users. Phase 4: Design, Theme, & Dynamic Branding • Theme Implementation: Install and customise a lightweight, LearnDash- and WooCommerce-optimised theme (e.g., Astra, Kadence, or GeneratePress) tailored to a clean, professional corporate training aesthetic. • Import of single course: Import the one course we will be offering. It is a SCORM file. Test that the course runs correctly and that tracking of progress and completion works accurately. • Dynamic Logo Substitution: Ensure the theme and Uncanny configuration are properly aligned so that when a branded tenant learner logs in, the platform's global logo is dynamically swapped out for their specific employer’s logo across the dashboard and course players. • User Journeys: Style and configure distinct, seamless front-end experiences for account creation, course browsing, shopping basket, checkout, student dashboards, and Group Leader dashboards. Phase 5: Testing, Optimization, & Handover • Performance Tuning: Object caching, database optimisation for concurrent learners checking out and taking courses, and asset optimisation. • Security & Compliance: General hardening of the WordPress installation and alignment with standard privacy/data protection best practices (e.g., UK GDPR compliance for tenant separation). • Handover Documentation: A technical overview of the setup and a step-by-step walkthrough of how to add new products or manually onboard a corporate tenant if needed. 3. Out of Scope (What We Will Provide) • Course content creation (SCORM packages, videos, quizzes, and text copy). • Final branding assets, default platform logos, and product pricing strategies. • Payment gateway merchant accounts (e.g., active Stripe/PayPal accounts). • Legal documentation (Terms of Service, Privacy Policies). 4. Technical Requirements & Assumptions • Licences: We will provide all premium plugin licences (LearnDash, WooCommerce paid add-ons, Uncanny Owl All-Access Pass, and the chosen theme), unless your agency provides them under an active agency licence. Please clarify this in your proposal. • Scalability: The architecture must be built cleanly without excessive, redundant plugins, ensuring the database handles concurrent transactional (WooCommerce) and educational (LearnDash) activity smoothly. 5. Proposal Submission Guidelines When responding, please provide: 1. Relevant Experience: Links to previous projects involving LearnDash, WooCommerce, and specifically Uncanny Groups / Uncanny Automator workflows, ideally showing examples of custom-branded group portals. 2. Hosting Recommendation: Your preferred managed WordPress host for a high-concurrency LMS + e-commerce build and why. 3. Estimated Timeline: A breakdown of how many weeks this implementation will take from kick-off to handover, and when you would have capacity to start the project. 4. Cost Estimate: A fixed-price quote or a clear breakdown of costs for the full implementation, alongside your standard hourly rate for post-launch support. 5. Team Structure: Clarify if you are an individual freelancer or an agency, and your geographical location/time zone. FAQ 🏗️ Platform Architecture & Infrastructure What hosting infrastructure will the platform use? The platform will be built on managed WordPress hosting (or an equivalent high-performance provider) to ensure optimal response times, and robust object caching for concurrent users. What is the expected user scale at launch and in Year 1? The initial launch scale is very modest: • Launch: 1 to 3 corporate tenants, with approximately 200–300 total users. • Year 1 Target: 5 to 10 corporate tenants, with fewer than 1,000 combined users across the system. • Concurrency: Expected maximum of around 200 concurrent active users. How will multi-tenancy and data isolation be handled? The system will use logical separation handled natively at the application level via the Uncanny Owl suite (Uncanny Groups) within a single, shared WordPress installation. Full database-level isolation is not required. Who will purchase the plugin and software licences? We will purchase and hold all primary licences (LearnDash, Uncanny All-Access Pass, WooCommerce premium add-ons) directly under our own accounts rather than using agency licences. This ensures complete ownership and portability if we choose to transition support in the future. 🎓 Course Delivery & SCORM Specifications What SCORM standard is being used, and how will it be played back? The platform will deliver courses using the SCORM 1.2 standard. You have the standard packaged .zip files (validated on SCORM Cloud). Which plugin will handle SCORM tracking and reporting? Rather than using a separate infrastructure like GrassBlade or an external LRS, the platform will utilize the Uncanny suite (Tin Canny LearnDash Reporting). This aligns both the multi-tenancy group management and SCORM playback within a single, unified ecosystem. What is the roadmap for future course content? The platform launches with a single data privacy course. The architectural design must allow for adding multiple courses and selling them as separate products or seat packages in the future. A second course is anticipated within 6 months, but the core topic will remain strictly focused on data privacy. 💼 B2B Onboarding & E-commerce Workflow How will corporate clients be onboarded? The system must support two distinct onboarding flows: 1. Automated (E-commerce): Corporate clients purchase bulk seats via WooCommerce. The checkout will capture company name, purchaser email, and additional details required to generate a legitimate VAT invoice. 2. Manual: Some corporate tenants will be set up manually by an administrator and invoiced separately outside the website. Can corporate clients buy more seats later? Yes. The checkout architecture must allow existing Group Leaders to purchase additional seat packages over time. The automation must dynamically add these seats to their existing Uncanny Group without creating duplicate environments. What payment gateway will be used? Stripe will be the sole payment gateway implemented for launch. 🎨 White-Label Branding & Customisation What assets can a corporate tenant customise? Branding rules are kept lightweight and clean to avoid design layout shifts: • Allowed: Uploading a corporate logo. The system will process this as an optimised WordPress media attachment (resized and cached for performance). • Not Allowed: Tenants cannot change interface colour schemes, custom CSS, or overall dashboard layouts. The default platform theme will remain light and neutral to accommodate all logos. Where will the tenant’s logo be displayed? The uploaded corporate logo will be dynamically injected into: • The learner dashboard and course player interface. • Front-end generated PDF progress reports and completion certificates. • The tenant's dedicated login page experience. • Automated system emails sent to that tenant's learners. Will tenants have custom domains or subdomains? No, custom subdomains (e.g., client.yourdomain.com) are a "nice-to-have" for the future but are out of scope for launch. All tenants will share the primary domain. Will automated emails show the corporate tenant's sender domain? No, this is also a future nice to have, but out of scope for now. 📊 Reporting & Management What reporting features do Group Leaders require? Reporting requirements are standard and will use the out-of-the-box Uncanny and LearnDash front-end capabilities: • User completion progress and status. • User last login timestamps. • Generated completion certificates. How are PDF reports generated? PDF reports will use a standardised template layout across the entire platform. The engine will dynamically pull and map the tenant’s cached logo onto the document during generation. Because reporting is an intermittent task, minor generation delays are perfectly acceptable; a simple dynamic pull is preferred over an over-engineered pre-rendering engine. Is Single Sign-On (SSO) required? No. This could be added down the line if there is high demand for it. For this platform, standard WordPress account creation with a bulk user upload tool for Group Leaders is sufficient. 🛠️ Development Operations Is a staging environment required? Yes, but Kinsta provides this functionality as part of its hosting.
