A Needed – Short-Term Rental & Property Admin | 20-25hrs/week | Long-Term Role

We're a UK-based property and consulting business operated from Portugal. We manage Airbnb short-term rental properties across the UK and Portugal, run a consulting business, and are growing fast. We need a reliable, organised VA to take over the admin layer so we can focus on growth and family. This is a long-term role with real room to grow. You'll work directly with the two founders — not a big corporate team. We value trust, reliability, and clear communication above everything else. What you'll be doing: Day-to-day: Managing Airbnb guest communications across UK and Portugal properties — enquiries, bookings, check-in/check-out messages Coordinating cleaners across all properties — scheduling, quality checks, communications Triaging the business email inbox — categorising, drafting routine responses, flagging urgent items Updating and optimising Airbnb listings — descriptions, photos, pricing research, competitor analysis Weekly: Scheduling social media content for two Instagram accounts — with potential to grow into full social media management for one account Updating Xero with transactions and reconciling bank feeds Reviewing property listing performance and flagging anything unusual Monthly: Preparing accounts data for our accountant Compiling a simple property performance summary As needed: Booking management and guest issue resolution Maintenance coordination — contacting tradespeople, getting quotes Travel arrangements and general admin What we're looking for: Must have: Experience managing Airbnb or short-term rental guest communications Excellent written English — you'll be communicating with guests, cleaners, and professionals on our behalf Highly organised — you manage your own time and don't need chasing Comfortable with Google Workspace, Xero (or similar), and the Airbnb host dashboard Reliable internet and a quiet workspace Nice to have: Experience with social media management Familiarity with Notion, Trello, or similar task management tools Who you are: You're proactive — you spot problems before they become issues. You communicate clearly and keep us updated without being chased. You're detail-oriented and comfortable working independently. You understand that this is a family business and you treat it that way.
