Summary

Vision for Product A global, AI‑powered operating system for B2B wholesalers and distributors that guarantees qualified pipeline and automates everything from lead to delivery and cash. What this product must deliver for B2B wholesalers and distributors Guaranteed pipeline: predictable, qualified monthly B2B leads Not just traffic. The platform should consistently produce sales-ready leads that match the buyer persona (industry, country, HS code, order size, etc.), with clear attribution so ROI is measurable. End‑to‑end revenue workflow automation From first touch to cash collection: lead capture → qualification → quotation → online negotiation → order → inventory allocation → fulfilment → shipping → invoicing → payment → repeat order. Manual work should be the exception, not the default. “Instant” B2B digital presence Launch a professional, conversion‑ready B2B website and eCommerce portal in minutes: branded storefront, catalog, pricing layers, RFQ, and account self‑service, without heavy IT dependence. Personalized AI employee for every team Each tenant gets AI “assistants” embedded in the workflow: Sales AI: prospecting, email/WhatsApp drafts, follow‑up suggestions. Pricing/Commercial AI: discount recommendations, margin checks, negotiation prep. Operations AI: demand signals, stock alerts, shipment exceptions. Support AI: chat, FAQs, order status, document retrieval. Truly multilingual and multi‑market ready The system should support multiple languages, currencies, tax rules, and regional nuances, so a wholesaler in Dubai can sell seamlessly to buyers in India, Africa, Europe, etc. Data‑driven decisions in “one pane of glass” Live dashboards for founders and managers: pipeline health, quotation win rates, pricing performance, top customers, slow movers, cash cycle, and AI‑highlighted risks/opportunities. Composable, API‑first ecosystem Ready to plug into ERPs, CRMs, payment gateways, shipping providers, and data sources, so it becomes the orchestration layer, not a silo. SaaS‑grade reliability and security Multi‑tenant architecture, strong tenant isolation, role‑based access, audit trails, backups, and monitoring so it can safely host many customers globally. Executive Overview This document defines the proposed direction for revamping an existing B2B platform into an Odoo-centered SaaS operating system for wholesale and distribution businesses. The target solution combines commerce, CRM, sales operations, inventory, procurement, finance, fulfilment, and AI-enabled workflows into one modular operating environment. The proposal assumes Odoo will serve as the transactional and process backbone for core ERP and commerce operations, while custom services, APIs, UI components, and AI orchestration layers will extend Odoo where required for differentiated SaaS capabilities. Business Objective The platform is intended to solve the recurring pain points faced by wholesalers and distributors, including multi-warehouse stock visibility, complex pricing, quotation cycles, customer-specific terms, logistics coordination, and fragmented finance and CRM workflows. The end goal is a unified system that reduces manual effort, improves conversion and fulfilment speed, and supports future-scale SaaS commercialization. Recommended Architecture Direction The recommended direction is an Odoo-centered modular architecture with separate tenant databases for production-grade SaaS isolation, shared application code, common core modules, and a governed customization layer. This is generally more appropriate than relying only on Odoo’s native multi-company setup when the product vision requires stronger tenant separation, differentiated branding, commercial packaging, and controlled extensibility. Proposed architecture layers · Presentation layer: customer-facing website, portal, back-office UI, partner dashboards, and mobile-responsive interfaces. · Odoo core layer: CRM, Sales, Purchase, Inventory, Accounting, Website/eCommerce, Helpdesk or support-related workflows, and document/approval processes. · SaaS orchestration layer: tenant provisioning, subscription controls, environment setup, branding configuration, monitoring, billing controls, and release orchestration. · Integration layer: payment gateways, shipping providers, ERP connectors, email, WhatsApp, telephony, social channels, and external data sources through APIs. · AI services layer: product enrichment, prospect intelligence, follow-up recommendations, quotation drafting, support assistance, analytics insights, and workflow copilots. · Data and analytics layer: transactional reporting, customer dashboards, performance KPIs, forecasting, and audit trails. Delivery Strategy A phased approach is strongly recommended because the platform vision spans ERP, eCommerce, CRM, communications, logistics, and AI capabilities. Separating the project into discovery, foundation, MVP, and advanced intelligence phases reduces delivery risk and makes vendor accountability clearer. Phase 1: Discovery and architecture · Product audit · Current system assessment · User journey mapping · Gap analysis against wholesale/distribution needs · Target architecture and module blueprint · Tenant strategy and customization policy · Migration strategy Phase 2: Core MVP · CRM and lead management · B2B website and portal · Product catalog and pricing engine · RFQ, quotation, and order workflows · Inventory and warehouse operations · Purchase and supplier workflows · Accounting integrations and invoicing · Payment and shipment workflow integration Phase 3: Growth automation · AI product intelligence · AI lead discovery · AI communication assistants · AI-based dashboards and recommendations · Role-specific executive insights · Automation and workflow rules engine Phase 4: Scale and ecosystem · Marketplace for agents/connectors · White-label tenancy options · Advanced partner/distributor tools · Deeper compliance, monitoring, and observability · International rollouts and localization expansion Vendor Expectations The selected agency should behave as a product and architecture partner rather than a staff-augmentation vendor. The team should be able to challenge scope, define a stable Odoo customization model, and recommend where to stay close to standard Odoo versus where to build custom modules or external services. Deliverables Expected from the Agency · Product discovery report · Solution architecture document · UX and design system proposals · Detailed module map · Technical design and API documentation · Migration plan · Implementation roadmap · QA and test strategy · Security and access-control design · DevOps and release plan · Support and maintenance model Critical Design Principles · Keep the UI simple enough for traditional wholesale users to adopt quickly. · Avoid over-customizing standard Odoo flows unless there is measurable product value. · Use modular custom apps for differentiated value such as AI, lead discovery, and advanced distributor intelligence. · Design for internationalization, multi-currency, and country-specific fiscal handling early in the roadmap. · Build traceability, permissions, approvals, and auditability into the operational core." Attached are the SRS and roadmap, you may double check and amend before posting,
