Office Manager — Moving Company (Remote / Work From Home)

You will run our office from your computer at home. You will not lift any boxes. You will work on your computer and your phone. Your main job: Make sure every move runs smoothly. You talk to customers. You talk to the moving crews. You enter information. You fix problems fast. When you do your job well, the crews and the boss can focus on the moving work. You are the person who keeps everything running. Important: The Work Hours This is NOT an 8-to-4 job. Please read this carefully. • You start at 6:30 AM Eastern Time (USA East Coast time), every work day. • You work until all the jobs are finished for that day. • Some days end at 11am. Some days end at 6 PM or later. It depends on the moves. • You must be awake, ready, and at your computer at 6:30 AM Eastern Time. Please check what time 6:30 AM Eastern Time is in your country before you apply. If you cannot start at 6:30 AM Eastern Time, please do not apply. This is the most important rule. You will like this job if you: • Like to follow clear steps and rules • Like to make phone calls (you will make many calls every day) • Are very careful with numbers and details • Stay calm when many things happen at once • Can solve problems by yourself • Want to do important work that people notice This job is NOT for you if you: • Do not like talking on the phone • Make mistakes with numbers • Need someone to watch you all the time • Want to do things your own way instead of following our steps • Cannot start at 6:30 AM Eastern Time What You Will Do Every Day We will give you written steps for everything. You will not have to guess. You just follow the steps. 1. Talk to Customers (Phone Calls) You will call customers many times. We give you the exact words to say. • 7 days before a move: Call the customer. Make sure the move is still on. Ask if they need help packing. • 2 days before a move: Call again. Confirm the address and the time. Confirm how they will pay. • After the move: Call the next day. Ask: “How was your move from 1 to 10?” Write down what they say. • During the move (two times a day): Call the customer to see if they are happy. Call the crew to see if they are on time. 2. Run the Morning (Starts 6:30 AM) • Check which crew members are awake and coming to work. • If someone does not show up, call a backup person. • Make sure each truck has the right crew. • Send each customer the time their crew will arrive. 3. Watch the Jobs All Day • Set alarms on your phone. Check on each job every 1 to 1.5 hours. • Call the crew. Ask: “How is the job going? Any problems?” • If a job is late, call the customer and give them a new time. • If something breaks, write it down and take action right away. 4. Handle Money and Bills • Make sure every item used on a move is on the customer’s bill (boxes, tape, wrap, supplies). Miss nothing. • Collect payment from the customer before the crew leaves. • Enter the crew’s work hours into our payroll system (QuickBooks) every day. • Chase customers who have not paid their bills. 5. Order Supplies • Check what supplies we have in the warehouse. • When we are running low, order more (every Monday). 6. Fix Problems • If something gets damaged, open a problem report the same day. Get photos. Fix it within 3 days. • If a worker is late or does bad work, write it down and report it. • If a customer is very angry, stay calm. Listen. Then tell the boss if needed. How We Know You Are Doing Well Every day, we check 8 things: 1. All jobs closed in our system before the day ends — must be 100% 2. Damage reports opened the same day and fixed within 3 days 3. Crew calls done — you called every crew at 11 AM — must be YES 4. Payroll entered — all work hours entered before the day ends — must be 100% 5. Old unpaid bills — bills more than 30 days late must stay under 10% 6. Worker reports written down and signed 7. Marketing numbers entered — must be YES 8. Missed calls — you call people back in under 5 minutes What You Must Be Good At You MUST have these: • Good with spreadsheets (Google Sheets, Excel) • Comfortable making 40 to 50 phone calls every day • Able to follow written steps exactly • Very careful with numbers and details • Strong, fast internet at home • A quiet place to work (no noise on customer calls) • Able to do 2 or 3 things at the same time without forgetting any • Clear, easy-to-understand English on the phone It helps if you have: • Worked in an office, logistics, or moving company before • Used a system to track jobs or customers (CRM) • Done customer service on the phone • Done payroll or billing before • Are good at calming down upset people What We Give You • Written steps for everything.
