Job Overview We are seeking an organized, proactive, and highly dependable Office Manager to oversee the day-to-day administrative and operational functions of our growing accounting firm. This role is responsible for ensuring smooth internal operations, supporting our accounting team, coordinating client communications, and delivering an outstanding onboarding experience for new clients. The ideal candidate is an excellent communicator with strong organizational and leadership skills, capable of managing multiple priorities while maintaining exceptional attention to detail. This individual will serve as the central point of coordination between clients, staff, and firm leadership, ensuring operational excellence and a seamless client experience. Key Responsibilities: Office & Operations Management -Oversee the firm's day-to-day administrative and operational activities. -Develop, implement, and improve office procedures, workflows, and administrative systems. -Coordinate internal meetings, firm calendars, and company-wide communications. -Maintain and organize firm records, policies, SOPs, and operational documentation. -Manage software subscriptions, licenses, office systems, and administrative vendors. -Monitor operational efficiency and recommend process improvements and automation opportunities. Client Coordination & Onboarding -Coordinate the onboarding process for new clients from engagement acceptance through successful setup. -Prepare engagement packages, onboarding checklists, and client documentation. -Collect required information and documentation from new and existing clients. -Schedule client meetings and coordinate communications with partners and accountants. -Serve as a primary administrative point of contact for client inquiries and follow-ups. -Ensure timely completion of onboarding tasks while maintaining a positive client experience. -Track client requests, deadlines, outstanding documents, and service deliverables. -Team & Administrative Support -Coordinate training schedules, team meetings, and internal events. -Assist leadership with administrative projects and special initiatives. Workflow & Performance Coordination -Monitor project and client workflow to help ensure deadlines are met. -Coordinate work assignments and communicate priorities across departments. -Track key operational metrics and prepare internal reports for management. -Assist in maintaining quality control procedures and workflow consistency. -Support implementation of new technologies, AI tools, and operational improvements. Technology & Process Improvement -Manage CRM, workflow management software, and administrative systems. -Utilize AI-powered productivity tools and automation platforms to improve operational efficiency. -Identify opportunities to streamline administrative processes and reduce manual tasks. -Support continuous improvement initiatives across the firm. General Administration -Maintain confidentiality of client and employee information. -Ensure professional communication standards are maintained throughout the organization. -Perform other administrative and operational duties as assigned. Qualifications & Skills -5–10 years of office management, operations, executive administration, or administrative leadership experience. -Previous experience in a CPA, accounting, bookkeeping, financial services, or professional services firm is highly preferred. -Excellent organizational and project coordination skills. -Strong leadership and problem-solving abilities. -Exceptional written and verbal communication skills. -Experience coordinating client onboarding and client relationship management. -Strong proficiency with Microsoft Office, Google Workspace, and cloud-based business applications. -Experience using CRM systems, workflow management software, and project management tools. -Familiarity with QuickBooks Online and accounting workflows is considered an asset. -Experience utilizing AI tools, workflow automation, and digital productivity platforms is highly preferred. -Ability to prioritize multiple projects while meeting deadlines. -High level of professionalism, discretion, and attention to detail. -Self-motivated with the ability to work independently in a fast-paced remote environment. Additional Requirements -This is a fully remote position. Candidates must have a dedicated home office with a reliable high-speed internet connection and a professional work environment. -Must be willing and able to work full-time during Eastern Standard/Eastern Time (EST/ET) business hours to support our Canadian clients and team. -Comfortable collaborating with a remote team using cloud-based communication, project management, and accounting software. -Self-motivated, dependable, and able to work independently with minimal supervision while maintaining high productivity and accountability. -Strong time management and organizational skills with the ability to manage multiple priorities in a fast-paced remote environment. -Immediate start preferred.
