Job description: We are a U.S.-based company seeking a highly organized, proactive, and motivated Operations & Administrative Assistant to work directly with the company owner. This is a full-time remote Independent Contractor position for candidates currently residing in Ukraine. This is a key position within our company. You will report directly to the owner and help manage daily operations, administrative tasks, customer communications, and business support. Every day will be different, so you must enjoy solving problems, learning new skills, and handling a variety of responsibilities. Key Responsibilities • Provide direct administrative and operational support to the company owner. • Manage calendars, appointments, reminders, and follow-up tasks. • Organize electronic files, documents, and company records. • Answer incoming phone calls from U.S. customers and business partners. • Make outbound calls to U.S. government agencies, local authorities, vendors, clients, insurance companies, and other organizations. • Communicate professionally by phone and email with native English speakers. • Prepare letters, forms, reports, and business documents. • Maintain spreadsheets and organize business information using Microsoft Excel. • Assist with bookkeeping and administrative projects as assigned. • Coordinate multiple projects and ensure deadlines are met. • Perform research and solve administrative problems independently. • Handle confidential company information with professionalism and discretion. • Perform other operational and administrative duties as business needs evolve. Required Qualifications • Must currently reside in Ukraine. • Fluent English is REQUIRED. You must be able to communicate confidently, clearly, and professionally with native English speakers in the United States over the telephone. • Fluent Ukrainian required. • Russian language is an advantage. • Resume must be submitted in English. • All interviews will be conducted in English. • Advanced Microsoft Excel skills are required. • Strong computer and internet skills. • Knowledge of QuickBooks Online is a plus. • Excellent written and verbal communication skills. • Exceptional organizational and time management skills. • Highly motivated, dependable, and self-directed. • Strong attention to detail. • Ability to manage multiple priorities with minimal supervision. • Professional telephone etiquette. • Reliable high-speed internet connection and a quiet home office. • Must be available to work during U.S. Eastern Time (EST/EDT) business hours. The selection process includes: • Initial interview conducted entirely in English. • Advanced Microsoft Excel skills assessment. • Background screening. • Verification of three or more professional references. Employment is contingent upon successfully completing all stages of the hiring process.
