AI Savvy Restaurant Operations Assistant We are seeking a highly driven, ambitious Operations Assistant to join the Just BE Kitchen team — Colorado's largest gluten-free restaurant group and the first seed-oil-free certified restaurant in the United States. This is not a traditional assistant role. You will work directly with the Founder to translate her vision into executed systems, structures, and results — with minimal oversight and maximum initiative. About the Role Think of this as one part virtual Executive Assistant, one part Operations Manager, and one part AI Systems Builder. You will own the administrative and operational backbone of the business while simultaneously helping us build the intelligent infrastructure that will take Just BE Kitchen to the next level. You will manage day-to-day operational tasks, support our restaurant systems (Toast, MarginEdge, 7shifts), and — critically — use your AI skills to help us automate workflows, build agents, and systemize processes across the business. You must be someone who can take an idea and run with it. Someone who delivers clean, accurate work the first time. Someone who sees problems before they become fires and brings solutions, not questions. AI Skills — A Genuine Differentiator We are actively building AI-powered operations at Just BE Kitchen, and this role is central to that mission. The ideal candidate has hands-on experience with: Claude (Anthropic) — prompt engineering, building workflows, and leveraging Claude for business operations Claude Cowork — collaborating with AI agents in a structured, productive workflow environment Claude Skills — building and deploying custom Skills to automate recurring tasks AI Agent Creation — designing and managing AI agents that handle administrative, operational, and communication tasks autonomously If you have built AI agents, automated business processes using Claude, or helped a team integrate AI into their daily operations, you are exactly who we are looking for. Candidates with this experience will be prioritized. What You'll Own Restaurant Operations & Systems Track and validate weekly tip distributions; prepare payroll for final review using 7shifts and Toast Payroll Build and maintain menus accurately in Toast POS; process updates and edits as needed Generate operational reports using Toast, MarginEdge, and internal tracking systems Manage inventory in MarginEdge including closings and reviews Assist with compliance checklists, cost tracking, and data accuracy across all operational records Catering & Administrative Support Maintain organized catering lead records and follow-up tracking Create and manage catering invoices Support menu and meal planning documentation Update tracking sheets, organize digital files, and ensure data integrity across all lists, schedules, and reports AI Workflow & Systems Building Build and manage AI agents using Claude and Claude Cowork to automate recurring administrative tasks Develop Claude Skills to streamline processes including catering intake, reporting, scheduling, and communications Identify manual workflows that can be systematized or automated and bring proposals forward Manage and direct an overseas team member handling administrative tasks, providing clear SOPs and accountability structures Systems & SOPs Create detailed, repeatable SOPs for all core operational functions Build structures that allow the business to run efficiently and consistently Make simple website edits and updates as needed Marketing & Communication Support Edit flyers, menus, and one-sheets using Canva templates Prepare clear, polished internal documents and communications Tools You'll Use Daily Restaurant Systems: Toast POS, Toast Payroll, 7shifts, MarginEdge AI Tools: Claude, Claude Cowork, Claude Skills, AI agent platforms Productivity & Data: Google Sheets, Excel, Google Drive Design: Canva Other: Basic CRM tools, website CMS platforms You Are the Right Fit If You… Have direct experience building workflows, Skills, or agents using Claude or similar AI platforms Are proactive — you anticipate needs and act before being asked Produce accurate, clean work with minimal back-and-forth Can take a vision and translate it into an executable plan independently Thrive in a fast-moving, values-driven environment Love healthy food, wellness culture, and mission-driven brands Are dependable, integrity-driven, and consistent — always Just BE Kitchen is an equal opportunity employer.
