AI Operations Assistant Needed for Transcript Knowledge Base Optimization I’m looking for a detail-oriented AI Operations Assistant to help with a project called Transcript Knowledge Base Optimization. The goal is to take a bulk batch of raw Fathom meeting transcripts and turn them into clean, labeled, structured, knowledge-base-ready files that can be organized in Google Drive and used later inside AI tools like Claude, ChatGPT, custom GPTs, or business brain workspaces. This is not a basic transcription cleanup job. I need someone who is comfortable working with AI tools, structured file systems, Google Drive, and repeatable workflows. You will be responsible for reviewing raw Fathom transcripts, identifying what each transcript is about, labeling each file, running the transcript through a provided AI optimization skill/workflow, checking the output for quality, and filing the completed document into the correct Google Drive folder. What You’ll Do For each transcript, you will: Review the raw Fathom transcript. Identify the topic, category, date, speaker/client/context, and purpose of the call. Rename the file using our naming convention. Run the transcript through our provided AI optimization skill/workflow. Make sure the optimized file includes a clear structure, including: Title Source Date Summary Key takeaways Keywords/tags Cleaned transcript content Any relevant notes or flags Lightly quality-check the AI output for obvious errors, missing sections, formatting issues, or hallucinations. Save the optimized file in the correct Google Drive folder. Update a simple tracker with the file name, category, status, Drive link, and any notes. Flag anything that is unclear, duplicated, incomplete, sensitive, or needs human review. Tools You Should Be Comfortable With You should be comfortable using: Fathom or other meeting transcript tools Google Drive Google Docs Google Sheets Claude, ChatGPT, or similar AI tools Claude Code or similar AI/code-based workflows Markdown or clean document formatting Simple SOPs and repeatable processes Bonus if you have experience with: Claude Skills AI knowledge bases Custom GPTs Notion File organization systems Transcript cleanup AI operations SOP creation Knowledge base optimization Important Notes You do not need to build the AI optimization skill from scratch. I will provide the workflow, instructions, and folder structure. What I need is someone who can follow the process carefully, stay organized, think clearly, and maintain quality across a large batch of files. This role is best for someone who is detail-oriented and systems-minded. I do not want someone who blindly copies and pastes. I want someone who notices when something looks off and flags it. Ideal Candidate You are: Highly organized Detail-oriented Comfortable with AI tools Good at following SOPs Careful with sensitive information Strong at naming, labeling, and categorizing files Able to work independently after receiving clear instructions Good at spotting errors in AI-generated outputs Comfortable asking smart clarification questions when needed Deliverables For each transcript, I expect: Properly renamed file Correct category/label Optimized Google Doc or markdown file Summary and key takeaways Keywords/tags Clean structure and formatting File saved in the correct Google Drive folder Tracker updated with file status, Drive link, and notes Any unclear or sensitive items flagged for review Paid Test Project We will start with a paid test batch of 3–5 transcripts. For the test, I will provide: Sample transcripts Folder structure Naming convention AI optimization workflow/skill Tracker template Instructions/SOP If the test batch is accurate, organized, and easy to review, I would like to continue with the full transcript backlog. Confidentiality These transcripts may include private business information. You must be comfortable working under confidentiality expectations and following clear data-handling instructions. Please do not upload transcripts into any unauthorized tools, share files externally, or use project materials for your own training/examples.
