About Notice Notice is building tools for private-market investing, including data, monitoring, research, and investment opportunities focused on pre-IPO and private companies. We are a small, fast-moving team looking for a highly organized Operations Associate to help centralize recurring work across sales operations, finance admin, data review, customer support, and general admin. Role Overview This is a broad startup operations role for someone who is detail-oriented, reliable, responsive, and comfortable handling sensitive information. You will help keep day-to-day workflows moving, follow structured processes, and coordinate across several parts of the business. The role may start with a paid trial project and expand into an ongoing 30–40 hour/week engagement for the right person. Responsibilities: You will support a mix of recurring operational tasks, including: - Sales operations: scheduling calls, sending agreements for signature, following up on documents, LinkedIn research, and maintaining clean internal records. - Finance admin: supporting payroll coordination, AP/AR, light bookkeeping review, payment tracking, filings, and tax-credit documentation. - Data operations: verifying trade information, creating/uploading IOIs, checking data for completeness, and flagging issues. - Customer support: triaging user questions, reviewing user documentation or identity verification items, and escalating edge cases. - General admin: processing mail, scanning and filing documents, booking occasional travel, maintaining trackers, and documenting repeatable processes. - Required Skills The ideal candidate has strong written English, excellent attention to detail, good judgment with confidential information, and experience in administrative operations, sales operations, finance admin, customer support, or startup operations. You should be comfortable with spreadsheets, Google Workspace, web-based business tools, structured checklists, and asynchronous communication. - Nice to Have Helpful experience includes startups, fintech or financial services, CRM tools, QuickBooks or bookkeeping workflows, payroll tools, e-signature tools, customer support tools, LinkedIn research, and working with U.S.-based companies. Bilingual English/Spanish is a plus. - Who This Role Is Best For This role may be a good fit for someone who has worked as an Operations Associate, Business Operations Coordinator, Sales Operations Assistant, Administrative Operations Specialist, Executive Assistant with sales or finance ops experience, Virtual Operations Assistant, or Customer Operations Associate. This is not a pure executive assistant role. We are looking for someone who can support a wide range of recurring operational workflows across the company. - Working Style We are looking for someone who is proactive but careful, organized, consistent, comfortable with recurring tasks, and able to clearly communicate when work is complete, blocked, or needs review. - Hours & Location We expect the role to require approximately **30–40 hours per week** if the candidate can support the full scope. We may begin with a smaller paid trial project. We are open to candidates in the United States, Puerto Rico, Latin America / South America, or other compatible time zones.
