We are BuyerSide Spain (buyersidespain.com), a boutique and independent Real Estate Buyer Advisory startup operating in Barcelona and Sitges. Founded by an experienced interior designer, fashion stylist, real estate investor advisor living for over 20 years in Europe, we help international high-net-worth clients find and acquire their ideal properties in Spain. ​As a fast-moving boutique business, the founder is currently managing extensive networking, meetings, and leads across Europe and international markets. We are looking to streamline this workflow into an intelligent, AI-driven digital infrastructure. ​We are seeking a proactive, tech-savvy, and highly organized Operations & Digital Project Coordinator with a strong startup mindset to build, implement, and manage this infrastructure, while also coordinating our digital brand communications. This is a fantastic opportunity for an ambitious professional who loves productivity tools, AI automation, and direct operational growth. ​Key Responsibilities: ​CRM & Lead Management: Build and maintain a clean, simple CRM system (e.g., Notion, Attio, or HubSpot) to segment and track our network: Investors (Europe), Brokers/Prescribers (LatAm/Brazil market), and Local Partners (Spain). ​AI Meeting Integration: Set up and manage AI meeting assistants (like Fathom, Fireflies, or Otter.ai) to record meetings, automatically extract action items, and log them into the CRM. ​Follow-up Coordination: Keep track of the business development agenda, ensuring no connection goes cold. Prepare follow-up communication drafts in English for review. ​Content & Media Logistics: Coordinate our digital communication workflow. Organize raw media assets, coordinate with content editors, and ensure the content pipeline aligns with our strategic partnerships. ​Who you are: ​You are highly organized, solution-oriented, and obsessed with digital efficiency and workflow automation. ​You have hands-on experience using AI tools (ChatGPT, Make, Zapier, Notion) to optimize operational tasks and save time. ​Your English is excellent (written and spoken) for professional systems and communications. ​You are fluent or native in Portuguese, as a key focus of this role involves coordinating partnerships and outreach with the Brazilian real estate market. ​Scope & Budget: ​Duration: 3 to 6 months (with contract-to-hire opportunity based on performance). ​Level: Intermediate. ​Hours: Part-time to start, with flexible hours. ​How to Apply: Review our website and Instagram (@alexs.varjao).
