About Us We are a growing, US-based HR Consulting firm dedicated to providing top-tier strategic guidance to our clients. We are looking for our first HR Operations Coordinator to partner directly with our Founder and help streamline our daily operations. The Role This is a part time role (5-10 hours/week) designed for a proactive professional with a background in supporting operational tasks. You will act as the backbone of the company, handling a blend of business development support, client onboarding, internal administration, and executive assistance. Key Responsibilities 1. Growth & Marketing Support Lead Gen & Outbound: Monitor HubSpot, conduct outbound outreach, and follow up with leads. Engage with Founders on LinkedIn on posts, build network of founders that match our ICP. Report on weekly engagement and growth. Upwork Management: Monitor our Upwork account, draft proposals, apply to relevant postings, and schedule consultations. Content Creation: Create images for our blog posts, edit, and schedule content for our Blogs, Newsletters, and LinkedIn. Contracts: Draft and send client contracts 2. Client Management & Onboarding Tech Setup: Smoothly transition new clients into our ecosystem (create Monday.com boards, Slack channels, Google Drive folders, and setup timekeeping apps). Client Success: Conduct quarterly email check-ins to ensure satisfaction and project alignment. 3. HR, Finance & Admin Operations Billing: Generate and send monthly client invoices via QuickBooks; log weekly Upwork time details. Experience & Qualifications Experience: 5+ years of mid-level administrative or operations experience. Knowledge: Intermediate experience working within a US-based HR firm in an operational support role Language: Fluent written and spoken English with a neutral accent. Tech Stack Proficiency: HubSpot CRM, Monday.com, Slack, Google Workspace, and Canva. Leveraging AI tools (ChatGPT, Gemini) for workflow efficiency Core Traits & Workspace Requirements High EQ: Ability to "read the room" and provide white-glove service to our clients. Availability: Reliable, consistent, and ready to take the reins on daily tasks. Available to be online up to 2 hours a day M-F between 9am - 5pm pacific time. Infrastructure: A quiet home office with high-speed internet, plus a reliable backup power/internet source.
