Operations & Data Integrity Specialist | Remote (Tax Advisory Firm, US-Based Clients)

Summary

We're not hiring someone to build our systems. We already have them. We're hiring someone to run them without letting a single detail slip. Our firm provides tax advisory services to high-net-worth clients. Over the last 18 months, we invested heavily in building out our operational infrastructure - CRM workflows, SOPs, data pipelines, quality checkpoints. That build phase is done. What we need now is someone who takes those systems and runs them with precision, day after day, without needing them reinvented. This is not a "wear many hats" startup role. It's not a growth-track position for someone who wants to be running the department in a year. If you're the kind of person who feels genuine satisfaction when a spreadsheet is clean, a record is accurate, and nothing is out of place - this is built for you. Responsibilities Data entry across multiple internal systems and client records Data validation: checking accuracy, catching discrepancies before they compound CRM maintenance and hygiene (day-to-day upkeep, not architecture) Quality assurance reviews of existing data sets Updating and syncing records across platforms so nothing drifts out of alignment Following documented SOPs precisely, without shortcuts or improvisation Flagging inconsistencies or irregularities the moment they're noticed Maintaining databases that stay clean under regular use, not just after a cleanup sprint Communicating potential issues early, before they become client-facing problems Qualifications Demonstrated experience working inside CRM systems (which one matters less than how you worked in it) Track record of data entry / data QA / records management work Comfortable following detailed SOPs exactly as written Strong written communication - you'll be flagging issues in writing, often Reliable availability and consistent working hours US tax, legal, or financial services experience is a plus, not a requirement Ideal Personality You should genuinely enjoy repetition and precision - not tolerate it, enjoy it. You notice when a field is one character off. You feel something close to discomfort when a database is inconsistent. You'd rather have a stable, well-understood role you're excellent at than a chaotic one with a vague promise of advancement. You work well without supervision, but you don't stay quiet when something looks wrong, you say something before it becomes a bigger issue, not after. Compensation This is a long-term, ongoing role, not a project engagement. Why You'd Enjoy This Role If you've ever been told you're "too detail-oriented" or "too particular" in past jobs, that's not a flaw here, that's the job. You won't be asked to redesign anything or manage change. You'll be trusted to keep systems that already work running cleanly, and to be the person who catches what everyone else scrolls past. When Applying, Please Answer These 5 Questions: 1. Describe a time you found an error or inconsistency that nobody else had noticed. How did you find it, and what did you do next? 2. Walk me through how you personally keep a CRM or database "clean" on an ongoing basis, not a cleanup project, but your regular habits. 3. Tell me about a time you had to follow a process exactly as written, even though you personally thought there might be a better way. What did you do? 4. When you're deep in repetitive data work for hours at a time, what keeps your accuracy from slipping toward the end of a task? 5. Describe how you'd decide whether an issue is worth flagging to a manager immediately versus noting for later. Walk me through your reasoning, not just the rule. Please begin your proposal with the phrase "I enjoy clean data" so we know you read the full posting carefully.
