Summary

THE PURPOSE Support the successful execution of our 3 day event by managing attendee communications, event systems, CRM organization, sponsor tracking, and backend operations. This role is focused on ensuring opportunities, attendees, sponsors, and vendors are properly tracked, communicated with, and supported throughout the event lifecycle. --- Primary Responsibilities Attendee & RSVP Management * Manage RSVP pipeline * Monitor attendee journey from RSVP to ticket purchase * Maintain attendee records and segmentation * Set - Up + Manage Eventbrite and registration systems Email Marketing & Communications * Weekly event email campaigns * Event updates and announcements * Venue, itinerary, and attendee communications * Ticket holder experience emails * Reminder and follow up campaigns Workflow Management * Email List → RSVP Workflow * RSVP → Ticket Purchase Workflow * Ticket Holder → Event Experience Workflow * Attended → Feedback Sponsor & Vendor Tracking * Maintain sponsor CRM+Excel * Maintain vendor CRM+Excel * Track follow ups and partnership status * Ensure no opportunities fall through the cracks --- Secondary Responsibilities Sponsor Outreach Support * Reestablish relationships with approved contacts * Send outreach messages as directed * Track responses * Maintain follow up schedule Operational Support * Administrative support as needed * Process documentation * System improvements and organization --- Weekly Deliverables Every Wednesday: * Updated Sponsor Tracker * Updated Vendor Tracker * RSVP Report * Ticket Sales Report * Email Campaign Report * Weekly Operations Summary * Outstanding Tasks & Follow-Ups --- Compensation $150/month Approximately 3 - 5 hours per week. Role structure and compensation will be reviewed based on business needs, event growth, and measurable operational impact.
