As we continue to grow, we are looking for an organised, proactive and detail-oriented Operations & Guest Experience Coordinator to help support our daily operations while nurturing our community and delivering an exceptional experience for every guest. About the Role This is a part-time remote position combining administration, guest support and operational coordination. The role is designed to provide flexibility. There are no fixed working hours, provided that responsibilities are completed efficiently, communication remains timely and work is delivered to a high standard. As AfricaNomads continues to grow, we expect this position to evolve. The scope of the role, level of responsibility and working hours are likely to increase alongside the company, creating opportunities for long-term professional growth. Your role goes beyond administration. You'll help create a welcoming, supportive environment where guests feel informed, connected and cared for throughout their journey with AfricaNomads. You'll play an important role in nurturing our community while ensuring that our internal systems and day-to-day operations run smoothly behind the scenes. This role is ideal for someone who enjoys organisation, technology, hospitality and bringing people together. Key Responsibilities Guest Experience & Community Respond promptly to guest enquiries via email, WhatsApp and Instagram Direct Messages. Support guests throughout their journey, from their initial enquiry and booking through to invoicing, arrival and departure. Prepare pre-arrival information and welcome communications. Create and manage destination WhatsApp groups. Keep community conversations active by encouraging introductions, sharing useful information and helping guests connect with one another. Assist with guest feedback, testimonials and review collection. Ensure every guest receives timely, professional and thoughtful communication. Operations & Administration Maintain and organise our Notion workspace. Update guest records and CRM. Assist with booking administration. Prepare operational documents, checklists and internal procedures. Support the coordination of upcoming AfricaNomads Chapters. Maintain accurate records and internal documentation. Assist with general administrative tasks across the business. Marketing & Communication Support Prepare and schedule newsletters using MailerLite. Maintain and organise email subscriber lists. Support referral and guest review campaigns. Assist with Meta Ads reporting. Update minor website content when required. Support general marketing administration. Skills & Experience We're looking for someone who is: Highly organised and detail-oriented. Friendly, professional and proactive. Comfortable working independently. Passionate about travel, hospitality and building communities. An excellent written communicator in English. Able to manage multiple priorities simultaneously. Experience with the following is highly desirable: Notion. MailerLite. Google Workspace. Microsoft 365. ChatGPT or other AI productivity tools. Canva. CRM systems. Hospitality, tourism or customer service experience. What Success Looks Like Within your first six months you will: Keep guest communications organised, professional and up to date. Maintain an accurate and well-structured Notion workspace. Confidently manage newsletters and email campaigns through MailerLite. Support the smooth day-to-day operations of every AfricaNomads Chapter. Help create an exceptional guest experience from the first enquiry through to departure. Foster an engaged and welcoming community where guests feel connected before they even arrive. Become a trusted member of the AfricaNomads team by taking ownership of your responsibilities and helping improve our systems and processes. Candidates who demonstrate exceptional marketing skills may have the opportunity to take on additional responsibilities or combine both roles as the company expands.
