We're looking for an experienced Operations Manager to own inventory operations, purchasing, supply chain, fulfillment, and COGS oversight across our entire portfolio. This is a highly analytical and execution-focused role. Your responsibility is to ensure our inventory operations run smoothly from factory to customer, with accurate inventory accounting, reliable stock forecasting, efficient fulfillment, and operational systems that scale. What You'll Own You will be responsible for overseeing the operational lifecycle of every product we sell. This includes: Inventory planning Demand forecasting Purchase orders Supplier coordination Manufacturing timelines Freight logistics Warehouse operations Fulfillment performance Inventory accounting oversight Landed cost accuracy COGS oversight Operational reporting Process improvement You'll work closely with suppliers, freight forwarders, 3PLs, finance, customer service, media buying, and leadership to ensure our operations continue running smoothly as we scale. Inventory Planning & Forecasting Own inventory forecasting across every Shopify brand. Responsibilities include: Build rolling inventory forecasts using historical sales, marketing plans, seasonality, and growth projections. Calculate reorder points and safety stock levels. Ensure inventory is purchased early enough to prevent stockouts. Balance inventory levels to avoid excess inventory and unnecessary carrying costs. Forecast inventory requirements for product launches and promotions. Monitor inventory health across every SKU. Maintain weeks-of-inventory reporting. Continuously improve forecast accuracy. Purchase Orders & Supplier Management Own the purchasing process from planning through production. Responsibilities include: Create and manage purchase orders. Track every PO from issuance through warehouse delivery. Coordinate production timelines with suppliers. Monitor manufacturing progress. Ensure factories remain on schedule. Follow up proactively on delayed production. Verify invoices match purchase orders. Coordinate production schedules with inventory forecasts. Build strong supplier relationships. Track supplier lead times and reliability. Resolve manufacturing issues before they impact inventory. Freight, Logistics & Warehouse Operations Oversee inbound logistics across all brands. Responsibilities include: Coordinate ocean, air, and domestic freight. Work directly with freight forwarders. Track containers and inbound shipments. Monitor shipment ETAs. Ensure inventory arrives on schedule. Coordinate customs and import documentation when needed. Resolve freight delays. Coordinate deliveries into warehouses and 3PLs. Monitor receiving accuracy. Investigate inventory discrepancies. Fulfillment Operations Own the fulfillment operation across every brand. Your responsibility is not simply monitoring fulfillment—it is ensuring orders actually get shipped. Responsibilities include: Monitor fulfillment performance daily across every warehouse and fulfillment partner. Ensure orders are picked, packed, and shipped within required service levels. Review unfulfilled orders, fulfillment aging, and order backlogs every day. Identify why any order has not shipped on time. Coordinate with warehouses, 3PLs, suppliers, customer service, Shopify administrators, freight partners, and internal teams to remove fulfillment blockers. Determine exactly what action is required to release delayed orders. Assign ownership and deadlines to resolve fulfillment issues. Follow every fulfillment issue through completion until orders are shipped. Escalate urgent issues before they impact customer experience. Monitor fulfillment accuracy, shipping speed, cancellation rates, split shipments, and warehouse performance. Hold fulfillment partners accountable to agreed service levels. Investigate recurring operational issues and implement permanent process improvements. Build dashboards tracking fulfillment KPIs, aging orders, warehouse performance, and unresolved operational issues. Inventory & COGS Accounting Oversight A major responsibility of this role is ensuring our inventory and financial reporting remain accurate. Responsibilities include: Review inventory valuations. Validate landed cost calculations. Ensure freight, duties, tariffs, shipping, and logistics costs are allocated correctly. Review COGS accuracy across every brand. Investigate inventory variances. Monitor inventory adjustments. Reconcile inventory movements with accounting records. Partner with finance to ensure inventory accounting remains accurate. Identify operational issues negatively impacting gross margins. Improve inventory reporting and accounting processes. Assist leadership with operational financial reporting. While you will work closely with accounting, this role owns the operational oversight of inventory and COGS—not day-to-day bookkeeping. Reporting & Operational Visibility Build and maintain reporting for: Inventory by SKU Inventory valuation Weeks of inventory remaining Stockout risk Overstock risk Purchase order status Supplier lead times Production timelines Container tracking Freight status Landed costs Gross margin trends Inventory aging Warehouse performance Fulfillment speed Order backlog Unfulfilled orders Open purchase commitments Process Improvement We are constantly improving how we operate. Strong experience operating Shopify-based ecommerce businesses. Experience managing direct-to-consumer fulfillment operations. Experience working with overseas manufacturers and suppliers. Strong understanding of inventory forecasting and purchasing. Experience managing international freight and 3PL relationships. Understanding of landed costs, inventory accounting, and COGS. Strong Excel or Google Sheets skills. Highly analytical mindset with exceptional organizational skills. Excellent communication and project management abilities. Ability to manage multiple brands, suppliers, warehouses, and priorities simultaneously. Improve inventory forecast accuracy. Reduce excess inventory and improve inventory turnover. Ensure purchase orders are issued and tracked proactively. Keep suppliers and production schedules on track. Ensure inbound shipments arrive on schedule. Keep warehouses operating efficiently. Ensure customer orders are fulfilled quickly and accurately. Identify and resolve fulfillment issues before they impact customers. Maintain accurate inventory valuations and COGS reporting. Improve gross margins through accurate landed costing. Build scalable systems, dashboards, and operational processes that support a rapidly growing portfolio of ecommerce brands.
