Operations Manager

We're looking for an Operations Manager for our media businesses. This isn't a task-execution role. It's an oversight and coordination role. You'll be the person who knows the status of everything across every workstream — content, community, brand partnerships, and the team — and makes sure nothing slips. You won't be doing every job, but you'll know enough about each one to spot when something's off. If you're the kind of person who notices a deadline before the person responsible does, who keeps a mental map of everything in flight, and who only escalates when it genuinely needs a decision — this role is for you. Employment type: Flexible hours Location: Fully remote Compensation: Competitive, dependent on experience What you'll own Cross-business delivery oversight You'll maintain visibility across all active workstreams — content production, community operations, brand deals, social publishing — and make sure every task owned by every team member is on track. You're not doing the work; you're holding people to deadlines and flagging anything that looks like it's slipping. Brand and partner liaison You'll be the point of contact for brand partnerships and external collaborators. This includes chasing approvals, coordinating video delivery timelines, and making sure everything gets signed off before it needs to go live. You'll own the communication so the founder doesn't have to. Team coordination and accountability You'll run the rhythm of the team — check-ins, task updates, and delivery milestones. Everyone should know what they need to do and when. If someone is behind, you address it. You only raise it to the founder if it can't be resolved without them. Content and publishing oversight You'll publish content yourself, and you'll own the timeline. You'll make sure assets are ready, approvals are in, and content goes live when it's supposed to across YouTube, social, and the community. You're the one who catches delays before they happen. Process and standards ownership You'll maintain the SOPs, checklists, and Notion docs that keep operations consistent. When something goes wrong, you'll update the process. When something is unclear, you'll fix the documentation. Founder escalation filter You decide what the founder needs to know. Routine issues get resolved by you. The founder only hears about something if it requires their input or decision. Your job is to protect their time and keep them informed without creating noise. Who we're looking for You're someone who thrives on having a complete picture of everything that's in motion. You're not a specialist in any one area — you're a generalist who understands enough about content, community, brand deals, and operations to know when something isn't good enough, even if you couldn't do the job yourself. You'll have: Experience in an operations, project management, or chief-of-staff-style role — ideally in an online business, media brand, or creator business A strong sense of urgency — you treat other people's deadlines as your own Exceptional attention to detail across written comms, timelines, and deliverables Comfort holding people accountable, including external partners and contractors Fluent written and spoken English — you'll represent the brand in external communications Confidence with digital tools: Notion, Slack, Google Drive, Zoom, and similar Availability on Sundays — some of our most important deadlines fall at the weekend You'll be good at: Knowing when something is good enough and when it isn't — without needing to be an expert Keeping calm when things are moving fast and multiple things need attention at once Writing clearly and professionally in external communications Spotting problems early and fixing them before they become the founder's problem Bonus points for: Experience in a media, YouTube, or creator business Familiarity with brand deal workflows and content approval processes Experience with Circle, ActiveCampaign, or similar platforms What success looks like in 30 days By the end of your first 30 days you will have: Maintained a live overview of all active tasks across the team with no missed deadlines Managed at least one brand or partner communication end-to-end without founder involvement Identified and resolved at least one delivery risk before it became a problem Built enough context across all workstreams to know, at any given moment, what's on track and what isn't Escalated to the founder only when genuinely necessary — and been right every time How to apply We'll review applications and invite strong candidates for a short intro call.
