Operations & Recruiting Virtual Assistant (Canva, Reporting & Sales Support) About the Role We are a fast-growing door-to-door fiber internet sales organization based in Hawaii, currently operating with a team of ~10 sales representatives and scaling quickly toward 50+ reps. We are seeking a highly organized, proactive Operations & Recruiting Virtual Assistant who can support both day-to-day operations and long-term growth initiatives. This is not a basic administrative role — we are looking for someone who can actively contribute to building a high-performance, scalable sales organization. Key Responsibilities Sales Operations & Reporting Track daily, weekly, and monthly sales performance metrics Maintain and update sales leaderboards and performance dashboards Manage Google Sheets / Excel reporting systems Monitor KPIs including productivity, conversion, and activity levels Organize team data, records, and operational documents Support scheduling and coordination across the sales team Graphic Design & Internal Communications Create sales leaderboards and performance visuals using Canva Design motivational graphics and recognition posts for top performers Build recruiting and social media visuals Develop simple presentations and team updates Create visual reports for leadership and team communication Recruiting Support Post and manage job listings on platforms such as Indeed and others Source and attract potential sales representatives via social media Respond to candidate inquiries in a timely and professional manner Schedule interviews and coordinate candidate pipelines Track applicants and maintain recruiting dashboards Help build scalable systems to consistently generate new hires General Operations Support Assist with special projects as needed Manage files, documents, and internal organization systems Follow up on tasks, deadlines, and team accountability Help improve operational workflows and systems Act as a flexible, all-around business support partner Ideal Candidate Strong English communication skills (written and verbal) Highly organized, detail-oriented, and reliable Comfortable working independently with minimal supervision Experience supporting sales teams or fast-paced environments Proficient in Canva, Google Sheets, and Excel Familiar with recruiting platforms (Indeed, Facebook, Instagram, etc.) Quick learner with strong problem-solving skills Bonus Experience Experience with door-to-door or field sales organizations Recruiting or talent sourcing experience Social media marketing or content creation experience CRM systems and pipeline tracking KPI reporting and performance analytics What Success Looks Like (First 90 Days) Reliable, structured sales reporting system in place Accurate daily performance tracking across the team Consistent recruiting pipeline generating qualified candidates Team growth progress toward 50+ sales representatives Improved organization, communication, and operational efficiency
