Summary

We are seeking an experienced Operations & Executive Assistant to support a growing group of healthcare and service-based businesses in California. This role is ideal for someone who enjoys creating structure, improving processes, coordinating projects, and helping a busy business owner stay focused on growth. We are looking for someone who can take ownership of responsibilities rather than simply wait for instructions. ABOUT THE ROLE: You will work directly with the owner to help manage administrative operations across multiple businesses, including healthcare services, residential care facilities, compliance services, and training programs. The right person will become a key member of our team and help build systems that support future growth. RESPONSIBILITIES: Executive Support Manage emails and inbox organization Calendar management and scheduling Draft professional correspondence Follow up with vendors, contractors, and staff Organize files and documentation OPERATIONS SUPPORT: Track projects and deadlines Monitor task completion Create and maintain SOPs Improve administrative workflows Identify issues and recommend solutions SYSTEMS & ORGANIZATION Google Workspace administration Google Drive organization Spreadsheet tracking Form creation Process documentation TEAM COORDINATION: Assist with onboarding new staff Coordinate training assignments Track compliance requirements Maintain operational records REQUIRED SKILLS: Excellent written English Strong organizational skills Attention to detail Google Workspace (Docs, Sheets, Drive, Forms) Ability to work independently Reliable internet and computer Strong follow-up skills PREFERRED EXPERIENCE: Executive Assistant Operations Coordinator Project Coordinator Office Manager Healthcare Administration Compliance Administration Residential Care or Healthcare Services IMPORTANT: This position is NOT primarily data entry.
