Summary

Job Summary: The Order Processing & Customer Service Coordinator is responsible for managing customer orders from intake through production and delivery. This role requires strong communication skills, attention to detail, and the ability to coordinate between customers, sales, and production teams to ensure accurate and timely order fulfillment. Key Responsibilities: Process customer orders accurately and efficiently in the system Review all order details including artwork, quantities, specifications, and shipping instructions Communicate with customers regarding order questions, clarifications, and updates Provide accurate information on production timelines, transit times, and in-hands dates Coordinate and confirm appropriate shipping methods based on customer needs and deadlines Request and verify Pantone (PMS) colors for all applicable orders to ensure color accuracy in production Send proofs to customers and obtain final approvals prior to production Ensure all approvals, payments, and required documents are received before releasing orders to production Work closely with sales, production, and shipping teams to meet deadlines and resolve issues Proactively communicate delays or issues and provide solutions when necessary Maintain detailed and organized order records Qualifications: Previous experience in order processing, customer service, or a related role preferred Strong attention to detail and organizational skills Excellent written and verbal communication skills Ability to manage multiple orders and deadlines simultaneously Familiarity with production timelines, shipping methods, and logistics is a plus Experience with CRM/ERP systems (e.g., QuickBooks or similar) is preferred Key Skills: Customer communication Time management Problem-solving Multitasking Accuracy and accountability Detail Oriented
