Outbound Operations Manager – SmartLead + Apollo (Healthcare Financial Advisory)

We're a healthcare consultancy firm that helps healthcare company founders and CEOs navigate sell-side transactions. Our outbound engine runs through SmartLead and Apollo. We need one person to own this entire system. Not as a task executor waiting for direction, but as the operator who runs it independently and reports results. This role is the full outbound function. You own everything from contact sourcing in Apollo to campaign performance in SmartLead. You manage inbox infrastructure, build campaigns, create spintax variations from our master sequences, run A/B tests, monitor deliverability, analyze performance by segment, and surface insights weekly. You don't ask what to do, you tell us what's working, what's not, and what you're changing. The system you'll own: Apollo 1. Build and manage segmented prospect lists by vertical (behavioral health, home health/hospice, IDD, physician groups, labs, staffing, healthcare IT) and geography (TX, CA, FL, Midwest, NE) 2. Contact enrichment, verification, and credit management 3. Export clean, verified, segmented lists ready for SmartLead campaigns 4. Maintain list hygiene so there are no duplicates, no bad data, no wasted sends SmartLead 1. Campaign architecture across 33 warmed email accounts including inbox assignments, batching, sends per campaign 2. Inbox infrastructure including warmup management, domain health monitoring, bounce control, sender reputation 3. Build spintax variations from our master email sequences (we write the core messaging, you create the dynamic variance) 4. Set up and manage A/B tests per sequence step including minimum 2 variants per step, kill underperformers at 300+ sends when below 50% of top variant 5. Deliverability monitoring including daily in Week 1 of any new campaign, twice-weekly ongoing 6. Segment performance analysis including reply rates by vertical, by geography, by campaign angle Weekly performance report with recommendations — not a data dump, an analysis with clear next steps What you are NOT responsible for: 1. Writing original copy from scratch. We provide master sequences and own the messaging voice 2. Building landing pages. We have a separate dev team 3. CRM management. We have a separate system 4. Deal execution or client communication Who you are: 1. You've run cold outbound operations for 2+ years in professional services, financial services, M&A, executive recruiting, wealth management, or healthcare in an industry where you're emailing C-suite decision-makers about high-value, sensitive decisions 2. You know SmartLead inside and out (Instantly experience acceptable if you understand multi-inbox architecture at scale) 3. You know Apollo inside and out including list building, enrichment, segmentation, not just basic searches 4. You understand deliverability at an infrastructure level including SPF/DKIM/DMARC, inbox rotation, warmup protocols, bounce thresholds, domain reputation management 5. You're analytical; you read dashboards, spot trends, and make data-driven decisions without being told to 6. You operate independently. Meaning you build your own reporting cadence, set your own priorities within the function, and come to leadership with insights and recommendations, not questions 7. Strong written English. You're adapting copy and building spintax, so you need to understand tone and nuance even though you're not writing from scratch What success looks like at 90 days: 4 campaigns running simultaneously across verticals 300–350 verified sends per day consistently Positive reply rate of 3–5% across campaigns Weekly reporting cadence with segment-level insights that drive real decisions At least 2 completed A/B test cycles with documented learnings Zero deliverability crises; proactive monitoring catches issues before they impact performance Apollo lists are clean, segmented, and continuously refreshed To apply, answer these three questions directly. What was the audience, send volume, how many inboxes, what reply rates did you achieve, and what specific optimization did you make that moved the needle? 2. Walk us through how you'd structure campaigns in SmartLead across 33 email accounts targeting 4 different healthcare verticals. How many campaigns, how many inboxes per campaign, what daily send volume per campaign? 3. You're running an A/B test. Variant A has 280 sends with a 4.1% positive reply rate. Variant B has 260 sends with a 1.8% reply rate. What do you do and why?
