Outreach & Lead-Management VA — Healthcare Marketing (US calls, email, web forms, IG/FB)
Worldwide
About us We're Medical Advertising Agency (MedicalAdvertising.Agency), a US marketing agency for elective-medicine practices — plastic surgeons, med spas, dermatology, and cosmetic dentistry. We run our own market-intelligence platform and CRM called ElectiveIndex, which researches a local market, builds a custom "visibility report" for each practice — where they rank in Google, the map pack, and AI search (ChatGPT/Claude) — and surfaces warm leads. We're a friendly, professional, anti-spam operation: every outreach is a genuine gift ("we built you something free and useful"), never a hard pitch. The role You'll be the human engine of our outreach and follow-up. ElectiveIndex generates the leads and the materials; you work them — reaching out to practices across US markets by web form, email, phone, and social DM, and keeping every contact organized in the ElectiveIndex CRM until they reply or book a call. This is relationship-driven outreach, not robotic spamming. What you'll do Work leads generated by ElectiveIndex — each day you'll have a queue of practices with a ready-made report link and pre-drafted (editable) messages. You send them, track who opens, and follow up. Submit website contact forms — our primary channel. Paste/adapt our message into each practice's contact form (we provide the copy and the tracked link). Send emails — personalized, gift-framed outreach and follow-ups where an address is available. Make outbound calls into US markets — friendly, professional check-ins ("did you get the free report we sent?"). Occasional, not a call-center role — a few calls a day, from a clean (non-spam-flagged) US phone line. Reach doctors via our company Instagram and Facebook — send professional DMs from our branded accounts (we provide login + message templates and guardrails; keep it human-paced to avoid platform limits). Manage the pipeline in the ElectiveIndex CRM — log every touch, update each lead's stage (ready → sent → viewed → replied → booked), and add notes. Nothing falls through the cracks. Handle inbound leads — when a practice fills out our website "request" form, respond promptly and route/book them. Light reporting — a short end-of-week summary: touches made, opens, replies, calls/reviews booked. Tools & systems you'll use The ElectiveIndex CRM (our own platform — we train you; it's simple: lead rows, message editor, stage tracker, view-tracking, notes). A US-callable, non-spam phone line (yours, or we provide one via OpenPhone/Google Voice). Company Instagram + Facebook accounts (we provide access). Email + a shared inbox (we set up). Standard tools: spreadsheets/Google Workspace, a reliable headset. Who you are Fluent, natural English — clear, warm, professional on the phone and in writing (this is the #1 requirement; you'll talk to US medical-office staff). Organized and reliable — you log everything and follow up on schedule. Comfortable on the phone — you can make a friendly outbound call and handle a gatekeeper without sounding scripted or spammy. Self-directed — you work a daily queue without hand-holding. Trustworthy with brand accounts — you'll represent Medical Advertising Agency on our own social and phone, so judgment and professionalism matter. Must-haves Native or near-native SPOKEN English — non-negotiable. Clear, neutral, call-ready accent; you'll be on live calls with US medical-office staff every day. This is the first thing we screen, and a voice sample is required. (Strong written English alone will not qualify.) Ability to place calls to US phone numbers from a clean, non-spam line (we can provide one — but you must have a quiet space + headset + stable internet for clear calls). 3–4+ hours/day overlap with US business hours ([specify ET/CT/MT/PT] — calls must happen when offices are open). Experience with outreach / appointment setting / lead management (B2B, sales support, or VA outreach). Experience using a CRM or lead dashboard (HubSpot, GoHighLevel, Pipedrive — ours is ElectiveIndex; we train you). Comfortable managing business social accounts (IG/FB) for outreach. Nice to have Background in healthcare, dental, aesthetics, or local-marketing/SEO outreach. Experience with forms-first outreach and high-volume but careful (non-spammy) social DMing. Familiarity with US geography/time zones. Logistics Start: a paid 1–2 week trial (a small market) to confirm fit, then ongoing. To apply Required: attach or link a 30–60 second voice recording of you speaking naturally in English (introduce yourself + read this line: "Hi, this is [name] calling from Medical Advertising Agency — I wanted to follow up on the free visibility report we sent your office."). Applications without a voice sample won't be reviewed. Answer the screening questions below. Include one short outreach message (3–4 sentences) you'd send a med-spa owner offering a free visibility report — show us your written voice too.
