Part-Time Bookkeeper — AR/AP & Cash Flow Management for small Marketing Agency (Few Hours/Month)

We're a boutique influencer and creator marketing agency based in NYC, working with CPG and beauty brands. We're looking for a detail-oriented, part-time bookkeeper to manage both our client invoicing (AR) and our creator/influencer payments (AP), and to keep us ahead of cash flow. This is an ongoing role, roughly a few hours per month, ideal for someone who wants a light ongoing retainer client. Responsibilities: Accounts Receivable (client invoices): - Maintain an up-to-date tracker of all outstanding client invoices (issued, paid, overdue) - Send polite but firm payment reminders to clients as invoices approach or pass due dates - Flag overdue or at-risk invoices immediately Accounts Payable (creator/influencer payments): - Track all creator/influencer payments owed, due dates, and payment status - Process and schedule payments to creators on time (via our existing payment tools) - Flag any payments at risk of being late so we can address before it becomes an issue Cash Flow Forecasting: - Build and maintain a rolling cash flow forecast showing money coming in (client payments) vs. going out (creator payments) so we always know our position - Provide a simple monthly summary: what's paid, what's outstanding on both sides, and what's coming in the next 30/60/90 days - Reconcile records against our bank/accounting software What we're looking for: - Experience with bookkeeping, AR/AP, or cash flow management, ideally for an agency or services business - Comfortable working independently with light oversight - Strong communication skills (some client-facing invoice follow-up may be needed) - Detail-oriented and proactive — you flag problems before they become cash flow issues To apply, please share your experience with AR/AP or cash flow management for small businesses or agencies, and your typical hourly rate for this kind of part-time, ongoing engagement.
