Part-Time Bookkeeping Assistant - Quickbooks Experience

We are looking for a reliable, detail-oriented bookkeeping assistant to support our accounting and finance process on a part-time basis. This is an ongoing role requiring approximately 20 hours per month: Around 3 hours per week for assigned bookkeeping and reporting tasks Around 5–6 hours once per month for month-end closeout support and report compilation This person will help with Accounts Payable invoice input, performing bank, credit card, and loan reconciliations, month-end report compilation, and clear communication of bookkeeping issues that need management review. This is a task-based support role. Work will be assigned specifically. This role does not currently include transaction coding or making broader corrections to the books without approval. Any questions, inconsistencies, reconciliation discrepancies, or recommended corrections must be clearly documented and communicated to our Business Operations Manager before action is taken. We need someone who understands accounting, QuickBooks Online, reconciliations, QuickBooks reporting, and how to work carefully within a defined approval process. Responsibilities You will help with assigned tasks such as: Entering vendor invoices into QuickBooks Online for Accounts Payable Performing bank, credit card, and loan reconciliations Identifying missing, duplicate, unusual, unclear, or incorrectly recorded items during reconciliation Compiling month-end reports from QuickBooks Online Leveraging artificial intelligence tools to help prepare and organize month-end reporting Reviewing Profit and Loss, Balance Sheet, cash flow, and other reports for obvious issues Preparing clear notes for questions, inconsistencies, reconciliation discrepancies, or recommended corrections Communicating all needed changes or questions to the Business Operations Manager Maintaining clear documentation of unresolved bookkeeping issues Following instructions carefully and staying within assigned tasks Required Experience You should have experience with: QuickBooks Online Accounts Payable invoice input Basic accounting principles Chart of accounts structure Bank, credit card, and loan reconciliations Profit and Loss reports Balance Sheet review Month-end close support QuickBooks reporting Working with small businesses Experience with real estate, construction, property management, or project-based reporting is a plus. Schedule The work will generally be spread throughout the month: Assigned weekly tasks: approximately 3 hours per week Monthly closeout support: approximately 5–6 hours near the beginning of each month We are looking for someone who can commit to a consistent ongoing schedule. Month-End Reporting What reports would you typically compile for month-end review, and what would you look for before sending them to management? 7. AI-Assisted Reporting Have you used artificial intelligence tools to help summarize, organize, or prepare financial reports? If yes, briefly explain how. If not, explain how you would approach learning this responsibly. 8. Issue Communication If you found a likely bookkeeping error but were not authorized to make the correction directly, how would you communicate it to the Business Operations Manager? 9. Task Discipline How do you make sure you only complete the tasks assigned to you and do not make unauthorized changes or assumptions? 10. Availability Confirm that you are available for approximately 20 hours per month, including assigned weekly tasks and monthly closeout support. 11. The trial may include: Entering sample vendor invoice information Performing or explaining a sample reconciliation Reviewing a sample Profit and Loss report Reviewing a sample Balance Sheet Preparing a short month-end report summary Identifying what questions should be sent to the Business Operations Manager Explaining what should not be changed without approval We are looking for accuracy, judgment, communication, and careful thinking.
