Description We run marketing for a fast-growing plant-based food brand sold through national foodservice distributors and campus dining programs. The strategy and creative are handled. We need a detail-obsessed coordinator who makes sure everything ships on time, every time. This is a long-term role with a stable weekly workload. You will work under our Client Success Manager and plug into an existing system: the calendar, tools, and templates already exist. Your job is to run them relentlessly. What you will own: The marketing deadline calendar: distributor campaign deliverables (email content, newsletter submissions, ad assets), trade opportunities, and promo windows. You flag anything at risk at least 5 business days before it is due. Nothing goes past due silently. Vendor and partner correspondence: tracking email threads with distributor marketing contacts, confirming receipt of deliverables, chasing what we are owed. Form and portal submissions: trade program sign-ups, co-op campaign forms, asset uploads to distributor portals. Social posting execution: scheduling and publishing posts from an approved asset library on a weekly calendar. You do not create the content; you make sure it goes out. Outbound campaign ops: loading contact lists into our outreach tools, QA-ing sequences before launch, monitoring send health, and routing replies to our sales setter same day. The weekly status tracker: a single sheet, updated every Friday, showing what shipped, what is in progress, and what is at risk. This is how the client sees progress without asking. What a typical week looks like: Mon: review the deadline calendar, update the tracker, confirm the week's posting schedule Tue to Thu: submissions, portal uploads, list loading, reply triage, thread follow-ups Fri: tracker updated and shared, next week's risks flagged You are a fit if you: Write clear, professional English (you will email US-based partners directly) Have owned a calendar of external deadlines before (agency, CPG, foodservice, or ecommerce experience is a plus) Are fluent with Google Sheets, Gmail, and at least one social scheduling tool Have used a cold email or outreach platform (Instantly, Smartlead, Apollo, or similar) or can learn one fast Are available and responsive between 8am and 12pm US Eastern Ask questions early instead of guessing, and never let something slip quietly You are NOT a fit if you want a creative or strategy role, need daily direction to stay on track, or juggle so many clients that morning ET availability is not real. Pay and terms: $6 to $10/hr depending on experience, 15 to 20 hrs/week to start with room to grow into more hours and more accounts as we add brands. 2-week paid trial period with clear success criteria.
